Overview

Hartwood Healthcare is a busy GP practice. We are looking for a cheerful, motivated receptionist to join our team on a 20 hour a week contract. Willingness to be flexible is essential as we are open between 08:00 and 18:30 Monday-Friday. If you would like to work as a member of the Reception Team which values common sense, excellent communication and IT skills and who puts the interests of our patients at the heart of our service, please apply. The successful candidate will ideally have experience in general practice, although this is not essential as full training will be given.


Main duties and responsibilities

* Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way and offer general assistance to the practice team.
* Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the practice team.
* Process appointment requests for the day and future appointments from patients by telephone and in person, ensuring that appointments are booked with the most appropriate clinician.
* Deal with visit requests, ensuring accurate recording of all relevant information.
* Take general enquiries and telephone messages, passing them accurately and swiftly to the correct recipient.
* Undertake a variety of clerical duties as determined by need and competency (e.g., sickness absence certificates, recalling patients for clinics, scanning letters on to the computer system, adding patient data to records, processing new registrations).
* Keep the Reception and waiting area neat, tidy and stocked.
* Ensure daily, weekly and monthly reception administrative tasks are completed in a timely manner.
* Help and support colleagues as required, including cover for annual leave and sickness.
* Effectively manage own time, workload and resources.
* Assist in the cancellation of surgeries due to sickness by contacting patients by letter or telephone.
* Any other duties as required by the Reception Supervisor or the Practice Manager.


About Us

Our chief commitment has always been to providing a high quality service for our patients. We have a friendly practice team. There are two partners, six part-time salaried doctors, one Advanced Nurse Practitioner, one paramedic, one pharmacist, two practice nurses who focus on long term condition management as members of a wider nursing team, receptionists, secretarial, clerical and IT support. At annual reviews, our assessors have commented that we are a well-organised and efficient practice. Our CQC standing is Good.


Person Specification


Experience

Essential

* Intermediate computer literacy
* Prior reception or other experience requiring considerable contact with the public

Desirable

* Previous experience as a Receptionist in General Practice with an understanding of the nature and workings of a GP practice
* Good knowledge of medical terminology


Other

Essential

* Pleasant, friendly, calm and approachable manner
* Smart appearance

* Excellent communication and people skills, including good telephone manner, good face-to-face communication, accuracy of written communication, active listening, and the ability to handle sensitive information
* Ability to work effectively as part of a team and on own initiative
* Ability to work within rules and guidelines and know when to defer to someone more senior
* Ability to work under pressure and prioritise workload
* Ability to cope calmly with distressing or emotional circumstances


Qualifications

Essential

* Minimum of 2 GCSEs equivalent to Grades A*-C in English and Maths or equivalent experience
