Client Services Coordinator (Claims - Front of House)

We have an exciting and rare opportunity for an experienced and proactive Client Services Co-Ordinator to join our Claims Team in our busy veterinary hospital.
In this role, you will be responsible for processing insurance claims accurately and efficiently, ensuring clients receive clear, timely communication and compassionate support throughout their claims journey. You will also assist our client-facing team, acting as a key point of contact for clients during patient admission and discharge.
This role requires a high level of professionalism, empathy, and organisational skill. You will play a vital part in delivering exceptional customer service and client support throughout their journey with us.
Key Responsibilities:
1. Process claims efficiently within agreed service levels
2. Review veterinary invoices, clinical notes, and medical histories.
3. Handling and accurately processing client and patient information
4. Identifying and resolving discrepancies promptly and efficiently
5. Manage incoming calls and emails
6. Process card and cash payments
7. Liaise with vets, colleagues, and external Insurance companies for additional information when required.
What We’re Looking For:
8. Proven experience in a client-facing role, ideally within a healthcare or veterinary setting
9. Strong administrative skills, including proficiency with Microsoft Office and CRM/database systems
10. Excellent attention to detail and a high level of accuracy
11. Previous experience in insurance claims handling (desirable)
12. Superb communication and interpersonal skills
13. Confidence in discussing sensitive topics with empathy and discretion
14. Highly organised, conscientious, and diligent in your work
15. Ability to manage a high workload and prioritise effectively.

Normal working hours will be 35 hours per week working Monday to Friday, covering between the hours of 7.30am to 6.00pm, weekend cover as and when required in consultation with your line manager.
