Constituency Office Assistant to Jon Burrows MLAJon Burrows MLA is recruiting for a Constituency Office Assistant based in Ballymena. The post is for 35 hours. The successful candidate would be expected to take up the post at the earliest opportunity.To carry out the function of providing constituency services and support for Jon Burrows MLA, North Antrim residents, businesses, communities and groups in the North Antrim Constituency and appropriate stakeholders


Responsibilities

* Respond to enquiries by telephone, email, and social media, passing on queries to other team members / MLA as appropriate.
* Photocopying, filing, record-keeping and typing correspondence.
* Engage professionally, confidentially and with care and integrity with members of the public, through a variety of methods.
* Planning and organising events.
* Update social media accounts to ensure good news, public safety information and other content relevant to a constituency office is communicated.
* Provide secretarial support for meetings as required.
* Manage and monitor incoming calls, face to face enquiries, emails, and social media enquiries, dealing with cases that do not need to be transferred to a caseworker. Ensure all enquiries are dealt with in a timely manner.
* Assist surgeries and other meetings and follow up as appropriate.
* Gather relevant information to assist with resolving cases.
* Prepare and edit correspondence, communications, presentations and other documents.
* Operation of IT & Software packages.
* Ordering and managing stationery stock/office equipment.
* Contributing to strategic planning.
* Assist in preparation for meetings, including preparing agendas and pre-meeting briefs.
* Building relationships with business, community and other groups in constituency.
* Obtain constituency information and maps and display to as requested.
* Any other duties as requested by Jon Burrows MLA.


Skills and Qualifications

* Three GCSE’s / O’ Levels or Equivalent at Grade C or above including both English Language and Mathematics.
* Excellent written skills (Grammar, punctuation and spelling).
* Proficiency in the use of Microsoft Outlook, Word and Excel packages.
* Minimum of two years’ experience working in a paid capacity in administration in an office environment.
* Previous experience of working with the public.
* Ability to update and maintain a database.
* Experience of dealing with sensitive and confidential information (both verbal and written) in line with the Data Protection Act and GDPR.
* Good punctuality.
* Excellent verbal communication skills in person and on the phone.
* Understanding of Ulster Unionist Party objectives.
* Thorough understanding of office management procedures.
* Excellent organisational and time management skills.
* Experience of working in a small team.
* Patience and compassion.
