The Medical Staffing Administrator is a key role within the Care Group's Medical Staffing Team, supporting recruitment activities for all medical staffing related activities across Neurosciences. The post holder works closely with the Medical Staffing Manager, Clinical Leads, Clinical Directors, Central Recruitment team and Workforce in achieving key performance indicators (KPIs) in these areas.
Main Duties
Support recruitment activities relating to Medical Staff in neurology and stroke, ensuring an efficient process for onboarding.
Develop and monitor medical staff rotas, identify gaps and source appropriate cover.
 * Recruitment
 * Own the end‑to‑end recruitment process for all medical roles and troubleshoot recruitment delays.
 * Ensure vacancies are processed through the Trust's Vacancy authorisation process before advertising.
 * Advertise substantive vacancies promptly to minimise bank and agency spend.
 * Coordinate interviews and support the offer making process with central recruitment.
 * Maintain the Trust's recruitment system and coordinate onboarding and termination procedures.
 * Coordinate local induction, including IT and security access, and ensure new starters attend corporate induction.
 * Work with Medical Education and clinical teams to provide required training and supervision.
 * Facilitate the earliest start date for new employees by liaising with Capita/candidates.
 * Rota Management
 * Identify in advance gaps in rotas at all levels across Neurosciences.
 * Organise appropriate cover using in‑house cross cover or additional duty hours, and source alternate cover when necessary.
 * Create bank shifts on Healthroster and Patchwork, source cover internally and externally, confirm bookings, and liaise with Clinical Leads.
 * Provide guidance and quality assurance to the Medical Workforce Team.
 * Locum/Temporary Staffing
 * Ensure locum requests meet agreed guidelines and liaise with temporary staffing partners.
 * Support the screen of CVs, confirmation of bookings and induction of new starters.
 * Input approved locum claims and additional working hours into the Bank Partners system promptly.
 * Absence Systems Management
 * Maintain Healthroster database for all medical staff leave and absence data.
 * Monitor staffing sickness and escalations in line with Trust policy.
 * Assist in cover arrangements for planned absences.
 * Deanery Joiners and Rotations
 * Manage the rotational training programme and coordinate work schedules.
 * Support the Junior Doctors Contract Manager with onboarding of doctors in training.
 * Produce less‑than‑full‑time schedules for part‑time workers.
 * Honorary and Observer Contracts
 * Process all honorary and observer contract requests and ensure appropriate supervision.
 * Manage ID badges, ICT access, and contract termination as required.
