Overview
Part Time Office Administrator (22.5 hours over 3 days) to provide essential administrative support to our Bristol office. This is a varied and hands-on role that is ideal for someone who thrives in a fast-paced, professional environment and enjoys being at the heart of office operations. The role will also be responsible for coordinating deliveries to the office, meeting and greeting clients and visitors, answering the phone, dealing with general queries, liaising with suppliers, ensuring adequate office supplies, compliance with H&S policy and procedures, liaising with IT, and much more.
Key Responsibilities
* Oversee the day-to-day administrative running of the Bristol office, ensuring a well-organised and efficient environment. Directing and planning all essential, non-customer related services, such as reception, deliveries, parking, waste disposal and recycling.
* Provide general administrative support, including scheduling meetings, managing calendars, booking travel, and preparing ad hoc documents and reports.
* Act as the first point of contact for visitors and handle incoming calls and correspondence professionally.
* Collect and distribute incoming regular mail, in addition to organising delivery and receipt of shipments/parcels via Royal Mail, DHL, etc.
* Support finance, HR, and IT teams with local office needs, including data entry, filing, onboarding coordination, and supplier liaison.
* Coordinate office supplies, maintenance requests, and liaise with building management as required.
* Assist in planning and organising internal meetings, events, and visits from other offices or stakeholders.
* Ensure compliance with internal processes and support the implementation of office policies and procedures.
Qualifications & Skills
* Proven experience in a similar office-based administrative or operations support role.
* Experience in a professional services, technology, or private equity backed environment is an advantage.
* Strong organisational skills with excellent attention to detail; ability to work independently and handle multiple tasks with discretion and confidentiality.
* Confident communicator with a professional demeanour, both in person and in writing.
* Awareness of common workplace health & safety policies/procedures; experience as a first aider, mental health first aider, or fire marshal would be beneficial.
* Competent in Microsoft Office suite (Word, Excel, Outlook, Teams) with experience of ERP systems.
* Strong stakeholder management and relationship-building skills; well organised with a detail-oriented approach; positive, proactive and self-motivated.
