About the Role
Are you a highly organised multitasker with a knack for logistics? We are looking for an Estates Admin and Transport Coordinator to become the operational heartbeat of our Estates department. This is a pivotal role that keeps our campuses running smoothly, our fleet moving safely, and our administrative systems beyond reproach. This isn't your average desk job. You will be the primary point of contact for the Estates Department, liaising with internal staff, students, external contractors and emergency services. You will provide vital support to the Director and the wider Estates team, ensuring seamless communication across all three main campuses.
Key Responsibilities
* Transport and Fleet Management – Manage the minibus booking calendar and scheduling; line‑manage the team of College Drivers, overseeing rotas, route planning and training; ensure the Group vehicle fleet is road‑legal, managing tax, insurance, MOTs and servicing; act as first responder for transport‑related issues, including delays or accidents.
* Departmental Administration and Finance – Order supplies and PPE for the Group, ensuring value for money while following procurement procedures; process invoices and purchase orders, manage service contracts and track remedial works and insurance records; act as the primary admin user for CAFM/CRM, providing training for new starters and monitoring compliance.
* Safety and Compliance – Maintain radio communication and play a key role in emergency responses, including fire evacuations and directing emergency services; maintain compliance records, including COSHH, risk assessments and equipment registers; line‑manage the Estates Admin Apprentice and support workforce development.
Requirements and Qualifications
* Previous experience in an estates/facilities environment with strong administrative skills.
* Knowledge of regulations, compliance, record‑keeping and system/database maintenance to a high standard.
* Ability to work across three sites, building relationships and communicating clearly with diverse teams.
* Experience supervising others and supporting colleagues in workload management.
* Level 2 (or equivalent) qualification in English and Maths (or willingness to undertake).
* Desirable additional qualifications in business administration, customer service or IT systems; proficiency in Microsoft or Google online suites.
