Job Title: Agencies and Novation's Administrator

Role Overview
We are looking for a highly organized and proactive individual to join our Agency & Novation Management team. In this role, you will be working within the Adviser Support & Paraplanning Dept, our M&A team, and Finance Dept. by overseeing the completion of Novation related tasks and processes and handling multiple projects simultaneously. You will be addressing any issues that arise, and regularly communicating progress and challenges to your manager.
Key Responsibilities:
* Oversight and working on agency management and online access to product providers for CWP Advisory function, Finance and M&A teams
* Oversight and working on the novation process including co-ordinating, arranging, and tracking progress of novations from initial planning and contacting providers through to fees being received under the correct agency. Work closely with the M&A Integration Team and Finance department on novations following an acquisition
* Working with Advisers/Adviser Support to ensure client allocations are correct such that fees are appropriately credited
* Develop processes to resolve adviser fee queries and subsequent collections, identify gaps in back off data and liaise with providers to clarify details on income we cannot identify. Continue enhancing process to ensure queries are minimised and can be quickly resolved
* Develop and oversee processes to ensure we are receiving the correct ongoing adviser charges from providers. Identify gaps and liaise with wider team and product providers to resolve these issues
* Build and maintain relationships/contacts with 3rd party product providers
* Address legacy issues with companies and advisers and consolidate where multiple sub-agencies exist unnecessarily
* Develop MI to oversee and track novation projects and report to the senior management on progress
* Oversight of internal central database of providers/users/leavers/agencies and sub-agencies
* Proactively cross reference CRM back-office data against Provider data to ensure accuracy between systems
* Work with IT department to maintain data integrations for valuations and fees with agency providers
* Oversight of Adviser/client reallocations in product provider records when changes are made
* Contribute to AI evolution for CWP in relation to agency and novation management
Requirements:
* Strong organisational and time management skills with the ability to manage multiple tasks and projects.
* Excellent attention to detail, particularly with data analysis and reporting.
* Strong communication skills, with the ability to report issues and work with other internal teams.
* Ability to work independently and take initiative in problem-solving.
* Prior experience in data management or support roles is an advantage but not required.
* A good understanding of data quality concepts or an eagerness to learn quickly.

Pay: £28,000.00-£35,000.00 per year
