Main duties of the job

* The post holder will use various data sources, including clinical information, to clarify and validate pathways and update data/text in the Trust electronic patient record as appropriate
* Analyse and make informed decisions regarding patient pathways and activities from viewing electronic clinical notes and health records
* Ensure excellent knowledge of various pathways for all services within the Division. Producing standard operating processes as required
* Use reporting tools to ensure patients are safely processed through pathways until discharge/PIFU
* Maintain 'risks' on Trust Datix system related to follow up waiting lists as required
* Provide timelines for operational managers in case of incidents and complaints
* Produce monthly failsafe reports and presentations for Divisional Performance Review (presenting reports as required)
* Ensure through regular meetings with access team of potential KPI breaches and support with implementing processes that prevent delays
* Liaise with clinicians regarding follow up waiting list concerns as required
* Identify patient level reports for patients that are delayed or have missed their planned review date

About us

Walsall Healthcare NHS Trust is an integrated Trust and the only provider of NHS acute care in Walsall, serving a population of 284,300, providing inpatient and outpatient services at the Manor Hospital as well as a wide range of services in the community. Walsall Manor houses the full range of district general hospital services under one roof. The £170 million development was completed in 2010 and the continued upgrading of existing areas ensures the Trust now has a state‑of‑the‑art Critical Care Unit, Neonatal Unit, Obstetric Theatre, and Integrated Assessment Unit facilities.

A new Urgent Emergency Care Centre was opened in March 2023. The two‑storey development has significantly improved emergency care facilities and capacity and has provided almost 5,000 square metres of additional clinical space.


Additional responsibilities

* Escalate clinic outcome concerns to Care Groups, supporting with completion of outstanding clinic outcomes
* Support teams with operational admin support as and when required
* Work independently using initiative. Plan, organise and prioritise own workload and for wider validation resource
* Ad‑hoc project support as and when needed
* Be responsible for induction and training of new staff members as required
* Use independent judgement to problem solve
* Coordinate the work of additional validation support as required
* Carry out PDRs as required
* Delegated budgetary responsibility for small payments (e.g. ordering of office supplies)
* Support with the production of standard operating processes (SOPs) for own area, with requirement to ensure implementation of Trust policies


Person Specification


Qualifications

* Vocational level 3 or equivalent
* Good standard level of education (2 GCSE's or equivalent 1 of which must be English Language)


Experience

* Data validation experience. Knowledge/experience of analysing information/data to resolve problems and identify solutions
* Experience in day‑to‑day management of individuals within team. Allocation of work/training for team members with less experience in same discipline
* Extensive experience in validation of data required, along with ability to identify approaches to minimising data quality concerns
* Experience undertaking surveys/or audits necessary to own work


Skills

* Standard keyboard skills. Ability to process data and admin information, producing reports/ SPC charts and power point presentations
* Ability to work independently within defined departmental policies. Plan straight‑forward work activity, including own workload. Light touch supervision, with advice as required
* Flexible approach to work, with a requirement to meet unexpected change in priority or deadline. Work pattern can be unpredictable


Knowledge

* Knowledge of administrative procedures and systems within an access environment
* Knowledge/experience of analysing information/data to resolve problems and identify solutions
* Ability to communicate/exchange information effectively to wider team on validation outcomes. This can be both complex and sensitive. Often barriers to understanding
