As we continue our mission to make people happy through chocolate, we're looking for a Stock & Systems Administrator to join our Fulfilment Team on a permanent basis.
As a Stock & Systems Administrator, you will manage perpetual inventory schedules, investigate stock discrepancies, and report findings to the Team Manager. You will monitor stock processes to minimise sales or financial impact and ensure products are returned promptly. The role also includes logging IT queries, auditing hardware, escalating issues when necessary, and completing administrative tasks such as Retail and Stock Moves to meet SLAs. You will process Online, Retail, Wholesale, and Production Returns.
This role is ideal for someone proactive, independent, and eager to gain exposure across a diverse business while providing practical and friendly support to stakeholders.

The on-site location for this role is at our Distribution Centre 'Beta', in Harpole, Northampton. We opened the doors to our impressive Distribution Centre - all 429,107 square feet of it - in October 2022. You will find us just off Junction 16 of the M1.
What you'll be doing…
1. Execute a schedule of Physical Inventory (PI) counts, ensuring that all areas of the Fulfilment Centre are counted within an agreed period
2. Investigate stock discrepancies
3. Report any findings and obtain authorisation of adjustments above a set value
4. Monitor key stock integrity reports
5. Support the preparation & execution of key stock takes
6. Administrate delivery bookings, adjustments and filing of required paperwork
7. Process Online, Retail and Production Returns
8. Perform asset equipment audits
9. Log and maintain IT queries with the relevant software/hardware providers
10. Provide first line support for system and stock related issues on site
11. Coordinate and book in palletised deliveries to ensure a smooth flow of work throughout the day
12. Communicate with on-site colleagues to prioritise tasks, ensuring customer requirements are met efficiently within planned resources
13. Handle inbound and outbound administrative duties
14. Improve stock record accuracy to help drive confidence in our processes
15. Drive efficiency through reduced problem solving for operational teams
16. Improve availability across channels to support business growth and brand image
17. Stay engaged and aligned with short and medium-term plans
18. Identify ways to innovate and reduce stock waste
Who you are…
Essential
* Experience in a stock & admin role
* Good knowledge of WMS (Warehouse Management Systems)
* Relevant IT skills - Word/Excel
* Attention to detail and high-quality standards
* Comfortable working at height (PI counts using a Scissor Lift)
Desirable
* Experience in a warehouse environment
* Holder of relevant MHE certificates (training provided)
* Conscious of commercial implications
* Methodical problem solving skills
* Effective communication and influencing skills to promote change
