You will need to have a Basic DBS for this role, which will be undertaken for you.
The Compliance Administrator will:
* Be based in the office, generally from 08:30 to 16:30, working with the Property Coordinator and Compliance Manager to manage all property-related tasks.
* Be part of the Compliance Team, responsible for ensuring all statutory compliance requirements for properties used for residents are met.
* Ensure all repairs received from support staff or residents are logged into systems, with work orders raised, liaising with repairs and compliance contractors and internal staff on access issues, contractor queries, and staff requests.
* Liaise with contractors, requesting and following up on compliance documentation, work order completions, overdue jobs, and invoices, verifying and escalating as necessary.
* Participate in property onboarding and offboarding processes to maintain compliance with health and safety legislation and government guidance.
* Work with colleagues across the organization to follow access processes, including issuing, recording, and retaining appointment letters for legal actions.
* Liaise with the Quality Assurance, Benefits, and Contract Performance Teams as needed.
* Handle enquiries from Bradford Council, residents, and staff via in person, telephone, and email communication.
* Perform in line with Concept's mission and values, fostering continuous improvement and delivering efficient services.
* Assist the Property team with reporting current performance and identifying improvements.
* Support scheduling inspectors' calendars to meet daily tasks.
* Review property and compliance documentation, processing new and existing properties promptly.
* Proactively request updated compliance documents from contractors before expiry and follow up on expired documents, escalating when appropriate.
* Keep records up to date and accurately capture status updates in internal systems.
* Handle enquiries for internal and external stakeholders, directly or via telephone and email.
* Assist team members and providers with property and document-related queries.
* Create contracts, SLAs, and other mandatory documentation for service users and providers.
* Identify non-compliance areas and provide support/guidance to address issues.
* Deliver accurate management information to management within specified timescales.
* Identify operational problems and understand their broader impact.
* Coordinate key activities across the Bradford property portfolio and act as a central contact for keys as required.
Key Responsibilities
* Actively contribute as a member of the Compliance and Property Team, supporting the Compliance Manager and Property Coordinator.
* Work efficiently within a high-performing team, monitor targets, and ensure quality service delivery.
* Use technology effectively to input and access information across various IT systems (Excel, Word, CAFM, databases).
* Be organized and adaptable in your approach.
* Take appropriate actions according to regulatory requirements related to building notices, planning applications, and housing standards.
* Collaborate with connected departments to resolve issues and meet SLAs.
* Manage and respond to compliance and repair queries.
* Conduct regular reviews of contractor compliance and address any breaches or standards not met.
* Work with the team to ensure all repairs and compliance requirements are fulfilled.
