You will join one of the largest Real Estate Investment Trusts in the world as we expand into the UK and European markets, including our new offices at 3 St. James’s Square. This client-side role will develop your experience and offer opportunities for career growth as the company expands.
Position Overview:
The Property Management Analyst provides administrative, clerical, and project support to the Property Management team, supporting multiple property managers within a large portfolio.
Key Responsibilities:
1. Property Management Tasks: Support daily operations ensuring efficiency.
2. Special Projects: Engage in assignments demonstrating problem-solving and creativity.
3. Policy Implementation: Assist in rolling out policies and procedures.
4. CapEx Administration: Manage major works and capital expenditure projects.
5. Vacant Unit Management: Oversee vacant units, including utilities, repairs, and security.
6. Lease Review: Ensure lease compliance and identify improvements.
7. Tenant Applications: Process applications for licenses, sublets, and other agreements.
8. Inspection Coordination: Organize property inspections for standards and safety.
9. Financial Collaboration: Handle invoices and coordinate with finance for payments.
10. Work Order Monitoring: Track and update on work and purchase orders.
11. Asset Value Enhancement: Support initiatives to preserve and increase asset value.
12. Communication Management: Manage post, LOAs, addendums, and welcome letters.
13. Fee Tracking: Ensure timely invoicing of management fees.
14. Compliance Management: Issue non-compliance letters and oversee tenant obligations.
15. Ground Rent Management: Oversee rent payments and records.
16. Insurance and Damage Administration: Handle queries and damage tracking.
17. Tenant Support: Respond to tenant requests promptly.
18. Business Rates Administration: Support with rate information.
19. Arrears Management: Assist in rent and service charge recovery.
20. Scheduling and Travel Coordination: Arrange meetings and travel.
21. Dilapidations Administration: Support in managing dilapidations.
22. System Updates: Keep property systems current.
23. Sustainability Initiatives: Contribute to environmental efforts.
24. GDPR Compliance: Ensure data handling complies with regulations.
25. Vendor Liaison: Collaborate with external partners.
26. Service Charge Management: Oversee charge processing.
27. Internal Reporting: Prepare reports for business insights.
28. Additional Duties: Perform other tasks as assigned.
Candidate Requirements
Knowledge, Skills, and Abilities:
* Experience in commercial real estate or property management, from consultancy or client side.
* Understanding of lease components and documentation.
* Intermediate Excel skills for data analysis and presentation.
* Ability to handle large workloads, meet deadlines, and work under pressure.
* Excellent organizational, coordination, and administrative skills.
* Strong communication and written skills.
* Ability to work independently, adapt priorities, and improve work methods.
Desirable but not essential:
* Degree in Real Estate or related experience.
* RICS qualification.
* Second European language skills.
* Experience with Salesforce or Yardi systems.
