Business Fleet Account Assistant
As our Business Fleet Account Assistant, you'll be the go-to person who keeps our operations running seamlessly. By managing day-to-day administration, you'll give our Lease & Business Development Manager (LBDM) more time to grow relationships and expand our customer base. Your mission: deliver seamless service for our TGB partners, brokers, and end-users—making every order and handover an example of excellence.
Key Duties & Responsibilities
1. TGB Lease Link Administration
* Manage the TGB Lease Link system from order entry to delivery
* Ensure SLAs are met and our reliability reputation is protected
1. Customer & Broker Liaison
* Be the first point of contact for Lease Link customers and brokers
* Coordinate vehicle deliveries and collections
* Resolve queries quickly and professionally
2. On-Site Coordination
* Monitor progress on orders
* Arrange PDIs and accessory fitting/inspection
* Support transporters during vehicle arrivals
3. Showroom Handover Experiences
* Serve as Toyota & Lexus Business Champion
* Design and deliver memorable handover experiences for fleet, KINTO, and localisation customers
4. Quotation Preparation
* Prepare accurate, competitive quotations across all sales channels and funding options
5. Short-Term Test Drives
* Organise and manage short-term test drives
* Ensure vehicles are immaculate and ready on schedule
6. Administration
* Handle invoicing, registration approval, payment processing, and compliance tasks
* Manage ad-hoc administrative duties to keep operations smooth
7. Customer Communications
* Be the on-site business-hours contact for calls and emails
* Provide prompt, professional responses to enhance customer satisfaction
What We're Looking For
* Proven admin experience in the motor-trade or fleet sector
* Strong organisational skills and a proactive, "get-it-done" approach
* Excellent written and verbal communication skills
* Experience with CRM/lease-management systems (TGB Lease Link a plus) and MS Office
* Customer-focused mindset with the ability to manage multiple priorities
