Job Description

Overview of the job

This is a coordination and senior administrative role within the Divisional office, Function / Cluster local offices. The jobholder will provide corporate support activities to assist the work of the Divisional and operational teams. They act as an interface between the Hub Manager, Business Manager, colleagues, and partners. Reporting to the Hub Manager or Business Manager, they will line manage Administrative Assistants, Case Administrators, and other staff.

Summary

The role's purpose is to ensure efficient business support and operational administrative services. The jobholder supports compliance with health, safety, and fire regulations, acting as a liaison for building issues. They must demonstrate commitment to equality, inclusion, and confidentiality.

Responsibilities, Activities & Duties

* Develop and implement business administration systems supporting probation delivery.
* Prepare and collate documentation for divisional activities.
* Maintain registers (e.g., Serious Further Offences, FOI, Accidents, Complaints), input data, monitor processes, and ensure timely completion.
* Manage monies, act as Vetting Contact, monitor travel warrants, bus passes, cheque requests, and assist with purchase orders.
* Represent the Business Manager at meetings, oversee health and safety activities, coordinate risk assessments, fire drills, and ergonomic assessments. Act as Cardinus Assessor, First Aider, and Fire Warden.

Manage and Develop Staff

* Provide leadership and management to the team.
* Manage staff development, performance, attendance, and employee relations fairly and consistently.
* Contribute to training and support recruitment activities.

Communication

* Write reports to support operations.
* Participate in meetings using effective communication skills.
* Contribute to management discussions.

Personal Development

* Manage personal resources and professional development.

Use of Information

* Analyze data, develop systems, and produce reports to identify trends and improve performance.
* Ensure confidentiality and security of information, deploy resources effectively, and support data access requests.
* Model pro-social behavior and uphold the aims and values of NPS and HMPPS.

The above duties are not exhaustive. The job holder is expected to accept reasonable additional tasks. Fluency in English (and Welsh where required) is necessary.
