Transport Admin Planner Job Summary Reporting to the Process Owner Service Delivery, the Transport Administration Planner will provide effective, accurate and timely administrative support to the Transport Rostering Team. You will be responsible for administering leave requests, daily manpower allocation, ensuring that any leave granted complies with operational requirements, adhering to Tacho rules. In addition, you will support the airside signatory with airside applications ensuring airside passes are applied for, applications are followed up till issuance and any additional information requested is provided in a timely and accurate manner. To be responsible for the documentation of weekly shifts. Maintenance of any records required for the business as delegated by the Unit Administrator or Unit Manager. Operational reports such as OPRS, WPRS, agency hours KPI’s, training matrix, etc. Administration of K- time and staff attendance, leave and sickness and clearance of all exceptions after taking input of respective managers. Maintaining internal unit reports, such as absence, leave, welfare calls. Processing of airside passes. Maintaining Driver records on Vision. Telephone enquiries and HR administration. Ensuring personnel files are up to date, in order and kept secure. Supporting the airside signatory by inputting of referencing details in system for airside pass applications. Follow up on progress of airside pass applications and ensure any additional information requested is provided in a timely manner. To attend team meetings as required and ensure detailed minutes of the meeting. Arrange ADP training. Arrange medical appointments for drivers. Update flight family for Delta airlines within 60 seconds of any notifications. Complete driving license checks every 3 months for everyone who has access to company vehicle. Plan and arrange company CBT and practical, Security and CPC training for drivers and loaders as required. Ensure overtime is tracked and allocated fairly. Carry out basic food safety training. To attend all necessary training programs to develop your own potential and enable your progress in the company. Supporting investigations/note taking. Any other reasonable requests. Education: GCSE’s or Higher Certification in food safety and/or sanitation preferred Work Experience: Previous experience in a similar role Previous experience in note taking essential Experience of working in a fast-paced deadline driven environment Experience of roster management would be an advantage Knowledge of airside pass regulations / requirements would be an advantage Technical Skills: (Certification, Licenses and Registration) Effective verbal and written communication skills in English, Good working knowledge of Microsoft Applications (Outlook, Word, Excel) Core Competencies Required: Must always demonstrate integrity, confidentiality and professionalism Excellent administration and organisational skills with a strong attention to detail Proactive and positive/flexible attitude, Able to work efficiently using own initiative to resolve issues Ability to work under pressure and to tight timescales, prioritising as appropriate Previous experience in a catering or hospitality role is desirable but not essential. You must be able to work shifts and be keen to learn. In addition to job - related training, you will develop your skills in team work, time management, multi-tasking, communication and attention to detail. All applicants must have the right to work in the UK, undertake a CRC (Criminal Record Check) and provide 5 years of checkable referencing history. For anytime spent outside the uk exceeding 6 months, you must be able to provide a CRC (Criminal Record Check) for that country
