Responsibilities of the Role The Contracts Administrator will be responsible for overseeing the administration of select contracts within the company, supporting the Contract Manager. This includes coordinating with internal teams, managing schedules, ordering parts, issuing quotes and invoices, ensuring timely delivery of services in line with client expectations and contractual agreements, and compiling reports and data analysis using Excel as required. The ideal candidate will have experience in contract administration and a strong understanding of CRM systems and Microsoft Office tools. Contract Administration Administer and manage select contracts, ensuring compliance with terms, conditions, and deliverables. Maintain accurate records of contracts, schedules, and documentation. Liaise with clients and internal teams to ensure smooth contract execution and customer satisfaction. Assist the Contract Manager in the preparation of contract renewals, amendments, and variations. Scheduling and Coordination Coordinate with the Operations Manager to ensure timely execution of contract deliverables. Monitor and update project timelines, schedules, and milestones. Parts Ordering and Inventory Management Ensure timely procurement of parts and materials as required for service delivery. Maintain accurate inventory records and liaise with suppliers to ensure part availability and cost efficiency. Quoting and Invoicing Preparing quotes and invoices for the contract manager, ensuring alignment with contract terms and customer requirements. Generate and track invoices in line with agreed payment terms. Continuous Improvement and Learning Take on additional tasks and responsibilities outside of your comfort zone to enhance your role and contribute to team success. Qualifications and Experience Proven administration experience in a similar role. Strong IT skills and working knowledge of Microsoft Office Software (Word, Excel, Outlook, PowerPoint). Proficient with various CRM systems and the ability to maintain accurate client and contract data. Strong organizational and time-management skills, with the ability to handle multiple tasks and meet deadlines. Excellent communication skills, both written and verbal, with the ability to interact effectively with clients, engineers, and senior management. Remuneration Package Package for this role includes an attractive salary ranging from £27,000-£30,000 dependent upon experience, working hours of 08.30-17.00 Monday Friday (37.5 hour week).
