Victim Support Scotland (VSS) provides support and information to people affected by crime and campaigns for victim and witness rights. Regardless of whether a crime has been reported, or when it happened, our services are free, confidential, and tailored to individuals' needs.

VSS is committed to the safeguarding and welfare of all of our service users and has a thorough and rigorous recruitment and selection process including PVG scheme checks in place to ensure this commitment is met.
You will be reporting directly to the Office Manager within the Finance & Estates Team and you will be responsible for providing essential administrative and operational support to ensure the smooth running of the Emergency Assistance Fund. The role will focus on supporting the EAF Coordinator and Locality Managers to ensure the timely purchase and delivery of items and services to applicants. You will support the full process and administration of the fund and undertake any other general office and administrative duties required.
You will bring relevant experience from a similar role, alongside a strong commitment to your own professional development. You will take the lead on procurement for the Emergency Assistance Fund, including ordering items and coordinating delivery and installation where required. You will be responsible for maintaining accurate records, ensuring timely credit card returns, monitoring stock levels, and arranging replenishment as needed. You will also support the creation and ongoing development of processes, procedures, and documentation for the Fund. Within your areas of responsibility, you will ensure compliance with all relevant policies, including GDPR, and that all transactions and communications are accurately logged for audit and reporting purposes.
In addition, you will provide facilities management support, including overseeing office Health & Safety processes and procedures, organising repairs, acting as the main point of contact for photocopier contracts, and managing the recycling contract to ensure collections are prepared and completed efficiently.
You will also deliver all aspects of reception facilities, answering incoming calls and coordinating room bookings and catering for meetings and events as required.
