Role Purpose
The Supply Planning Administrator supports the Supply Planner by providing accurate, timely, and disciplined administrative and data support to the supply planning process.
The role ensures that orders, data, and planning systems are maintained to a high standard, enabling the Supply Planner to focus on short to medium term planning, risk management, and capacity decisions. This position plays a critical role in maintaining plan integrity, visibility, and execution discipline across the supply planning cycle.
Key Accountabilities
Order & Data Administration
* Raise, amend, and maintain purchase, production, or transfer orders as directed by the Supply Planners.
* Ensure orders accurately reflect agreed quantities, dates, lead times, and locations.
* Maintain accurate and up to date data in planning and ERP systems.
Supply Planning Process Support
* Support the Supply Planner in executing short term supply plans by ensuring all administrative steps are completed correctly and on time.
* Prepare data, reports, and system extracts required for supply reviews and S&OP inputs.
* Track changes to orders and plans, ensuring visibility and traceability.
Exception & Issue Tracking
* Monitor order confirmations, acknowledgements, and delivery status.
* Flag discrepancies, delays, or data issues to the Supply Planner promptly.
* Support follow up actions with suppliers, logistics, or internal teams as required.
System, Process & Data Quality
* Ensure planning systems and master data (lead times, MOQ, pack sizes, calendars) are maintained accurately.
* Support continuous improvement by identifying recurring data or process issues.
* Follow agreed planning standards, templates, and governance.
Cross Functional Coordination
* Work closely with Supply Planning, Logistics, Procurement, and Customer Service teams.
* Provide timely and clear information to support smooth execution of supply plans.
* Act as a reliable point of contact for supply planning administration queries.

Skills & Experience
Essential
* Experience in supply chain administration, planning support, or operations coordination.
* High attention to detail with strong data accuracy and control.
* Comfortable working with ERP or planning systems and spreadsheets.
* Strong organisational skills and ability to manage multiple tasks.
Desirable
* Experience in FMCG or fast moving supply chain environments.
* Exposure to supply planning, production planning, or logistics operations.
