Job Purpose
To support the Federation's HR, Finance, Governance and wider Federation functions with an administrative function.
Principle Duties:
* To maintain systems for receiving, checking and logging incoming post and emails.
* To assist the Senior Administrator in organising meetings and training for the Federation and wider membership, ensuring venues are booked, catering requirements are fulfilled and relevant invites are sent and attendance collated.
* To provide administrative support for projects, not limited to but including the Student Nurse Associate programme.
* To assist the Senior administrator with pre-employment checks, recruitment, populating contracts and offer letters, maintaining personnel files, populating HR documents and liaising with our payroll provider.
* Maintain staff database, ensuring professional registrations and DBS checks are up to date.
* Notify the Management team of upcoming probationary reviews and appraisals, chase completed probationary and appraisal documentation.
* Ensure all documentation on file in relation to expenses is up to date and chase outstanding documentation not on file.
* To maintain the HR database, ensuring all employee files are accurately maintained, annual leave entitlements are calculated and updated.
* Maintain Federation policies on company intranet ensuring policies are up to date and Management are aware when policies are due for review.
* Maintain an accurate training record for all Federation core employees, ensuring all employees are aware of overdue training.
* Creation and updating of spreadsheets.
* Attend meetings to take accurate notes of the discussion and to document key action points, in the absence of the Senior Administrator or Senior HR and Finance Officer.
* To assist the Management Team by undertaking ad hoc typing, photocopying, filing shredding and scanning.
* Dealing with telephone calls, taking messages and signposting to the appropriate member of staff.
* Raise service requests with NHS Property Services in relation to cleaning services.
* Any other duties appropriate to the post that are requested of you on occasion.
* To assist the Management Team and Directors with diary management and ad-hoc tasks as and when required.
Maintaining Stock & Supplies:
* To order stationary and supplies for the Federation and PCN customers upon request.
Planning & Organisational Skills:
* Manage own time effectively, prioritising own workload to meet competing demands.
* Deal with queries and issues, understanding the limitations of the role and know when to escalate to a manager.
Communication and Working Relationships:
* Deal with enquiries via phone, face to face or email from clinicians and other staff and ensure that these are addressed or signposted to the appropriate person.
* Use own initiative.
* Liaise with other staff and hubs to ensure all stock and equipment is supplied and maintained.
* Demonstrate a professional approach in handling sensitive and confidential information.
