Description
Assist with the provision of an effective and high-quality MIS service to all College users making sure all core services are delivered to the highest customer service standards, assisting with data collection and amendments to systems and procedures to ensure all requests relating to apprenticeship students and employer data are processed in an efficient and timely manner.
This role will assist the MIS Manager in ensuring that all apprenticeship ILR and HE data returns are submitted adhering to funding body schedules, end point assessment organisation requirements, and that all data is compliant.
This job is 18.5 hours per week, 52 weeks per year and salary will be pro rated.
Main Responsibilities and Duties:
The following is an indication of the type and level of the main priorities expected of this role as directed by the Executive Director, Vice Principal, or Director of Service and is not intended to be a comprehensive list of duties or tasks:
1. Check data relating to student and employer records following a student's initial enrolment at the start of their programme e.g. additional enrolments, withdrawals, group/ programme transfers, amendments to student/ employer details etc., ensuring all student/ employer data is processed in accordance with agreed data protection/ GDPR regulations, College policies and government guidelines, ensuring that compliance is maintained at all times.
2. Assist with the accurate and timely submission of all apprenticeship data and fixing of any data errors in preparation for the ILR and HE data returns to external websites following government set timelines.
3. Assist with the process of identifying student Unique Learner Numbers, including updating personal details on the Learner Record Service database and requesting the merging of records where applicable.
4. Assist the MIS Manager with rectifying duplicate student records.
5. Contribute to the development of data analysis techniques, implementing the use of analytical software to ensure that robust data checking and further validation is in place so that data returns are accurate to support the reporting of apprenticeship student and employer data, maintaining full compliance at all times.
6. Support Apprenticeship Team colleagues with the accurate generation of student status certificates and any other documents for their apprentices and employers. This will include processing requests on the Apprenticeship Helpdesk ensuring all tickets are responded to and resolved in a timely manner.
7. Follow the audit schedule for various aspects of student data which attracts government funding, carry out audits and report back to management any findings, particularly with regard to any potential financial implications.
8. Regularly run reports for the MIS Manager and the Apprenticeship Team detailing non-compliance issues, provide guidance and follow up as and where needed.
9. Assist in ensure that the Apprenticeship Team are collecting information accurately. Providing updates at team meetings and providing guidance on funding and audit criteria, in order to ensure that colleagues have sufficient data to communicate accurately, with employers and apprentices.
10. Keep up to date with funding changes and share these with the team.
