Job overview

A full time Medical Secretary is required in the Trauma & Orthopaedics Department at Wycombe Hospital to provide a comprehensive and quality medical secretarial service to 4 consultants and their teams. This is a permanent position within the department.

You will provide administrative support as well as be involved in the day to day work for the consultants. You should be enthusiastic, motivated and have good organisational and communication skills. Excellent computer and audio-typing skills are also required

Main duties of the job

1. To provide a support Medical Secretarial Service within the Directorate. To undertake accurate audio/copy typing (including digital) of medical correspondence and general administration. This will include highly sensitive and complex medical terminology with a need for confidentiality.
2. To work to the agreed standards and templates for each Specialty/Department
3. In the absence of the Senior Medical Secretary (or as appropriately delegated) to receive and open Consultant/medical staff’s mail, to action routine/non-routine and urgent correspondence and drawing the necessary items to the attention of the person concerned.
4. In conjunction with the Senior Medical Secretary ensure that the departmental workload is prioritised and maintained within time standards.
5. To assist with the daily management of clinic lists and booking of priority patients.

Person specification

Qualifications

Essential criteria

16. GCSE Grade C or above/equivalent in English Language
17. RSA II Typing, or equivalent
18. Medical Secretarial Course/ Medical Terminology Course, or ability to demonstrate equivalent

Experience

Essential criteria

19. Experience of working as a Medical Secretary
20. Experience of working in a similar setting within The NHS
21. Experience of word processing
22. Experience of audio-typing
23. Experience of working with highly confidential data
24. Previous supervisory experience

Desirable criteria

25. Experience of Minute taking
26. Experience of working with rotas

Skills, Abilities and Knowledge

27. Knowledge of Microsoft Office products
28. Good written skills, to enable liaison with staff at all levels
29. Ability to work on own initiative and make judgements and decisions to resolve problems and queries
30. Possess skills necessary to work as a Team player
31. Knowledge of GDPR Regulations (ability to maintain patient confidentiality)
32. Able to deal politely, patiently and sensitively with public, and patients and their relatives
