Job Description:
We are seeking a passionate and enthusiastic Event Details Manager/Planner with substantial experience in event or wedding project management and administration. This office-based role requires a professional who can manage all facets of our clients' events from initial sale commitment through to the successful completion of the event. Your role will be pivotal in making each client’s day perfect.
Key Responsibilities:
* Act as the primary point of contact for clients post-sale, providing clear and consistent communication to address any queries or concerns.
* Meticulously plan each event in collaboration with clients, gathering essential details such as dietary needs, guest numbers, venue specifications, and special requests.
* Accurately prepare and manage invoices and documentation, ensuring timely payments and correct details.
* Produce and handover detailed job sheets to the production team, ensuring a smooth transition from planning to execution.
* Deliver an exceptional customer experience by offering personalized service and meticulous attention to detail throughout the planning process.
* Coordinate with internal teams to ensure every aspect of the event is executed seamlessly, covering catering, staffing, equipment rentals, and logistics.
* Provide day-of event support by confirming details with clients, offering reassurance, and addressing any last-minute adjustments.
* Conduct regular meetings and Zoom calls with clients to discuss event details, make necessary updates, and align expectations.
* Occasionally visit event venues to ensure they are well-prepared for upcoming events.
* Manage all final payments to ensure they are complete before the event day.
* Actively pursue client feedback and positive reviews post-event.
Qualifications:
* Proven experience in event planning, project management, or a related administrative role within the events or wedding industry is essential.
* Excellent communication and interpersonal skills.
* Outstanding organizational skills and attention to detail.
* Capable of thriving in a fast-paced, deadline-oriented environment.
* Proficient in managing email communications and virtual meeting platforms like Zoom.
Work Hours:
This is a part-time position, Monday to Thursday, from nine-thirty AM to two-thirty PM.
