Receptionist & Business Administrator

Finlay Jude Associates are recruiting on behalf of a well-established engineering business operating within the Manufacturing industry. Our client is seeking a professional, organised, and personable Receptionist / Administrator to support day-to-day office and site operations.

This is a key front-of-house and administrative role, ideal for someone who enjoys being at the centre of a busy technical environment and providing high-quality support across multiple departments.

Package & Benefits

Salary: £26,000 basic

Hours: 37 hours per week

Core hours:

* Monday – Thursday: 8:30am – 5:00pm

* Friday: 8:30am – 2:00pm
(Flexible by prior agreement)

The Role

Reporting directly to the Procurement Manager, the successful candidate will liaise closely with colleagues across the business, as well as customers and suppliers, ensuring the smooth running of reception and administrative functions while maintaining high standards of professionalism, confidentiality, and health & safety.

Key Responsibilities

Reception & Front of House

* Managing the reception desk and acting as the first point of contact for visitors

* Answering and directing incoming calls, taking accurate messages

* Greeting customers and suppliers in a professional manner

* Arranging refreshments and lunches for visitors

* Managing the site entry system, front door and barrier, and programming access fobs

Administration

* General office administration and document management

* Timesheet and weekly clock card entries

* Filing and archiving (physical and digital)

* Typing and issuing daily post

* Purchasing office supplies and maintaining stock cupboards

Travel & Logistics

* Booking travel and accommodation for colleagues and customers (flights, hotels, taxis)

* Researching and ensuring travel documentation and paperwork are correct for staff travel

Purchasing Support

* Assisting the purchasing team with order expediting and supplier enquiries

* Inputting stock orders and updating pricing

* Supporting requisitions and purchase orders

General

* Supporting general administration and providing holiday cover when required

* Carrying out all duties safely, professionally, and in line with company procedures

* Upholding health & safety requirements across the office and factory environment

* Maintaining confidentiality at all times

* Undertaking any other reasonable duties as requested by management

* Use office equipment correctly and responsibly

* Embrace new technologies and continuous improvement initiatives

* Contribute ideas that support efficiency, cost control, and competitiveness
