Project Support Officer – Digital Programmes
An exciting opportunity has arisen for a WTE Band 4 Project Support Officer to support the Head of Digital Programmes and team with the successful delivery of digital projects.
The post holder will work with the team in the development of future modules of TrakCare the Trust's EPR solution and associated projects.
Main Duties
* Use appropriate technologies and equipment to provide an efficient, effective, comprehensive and timely administrative service to the programme team and senior staff, including updating and creating project documentation in line with PRINCE2 methodologies using Smartsheet.
* Ensure all products are created to the high standard set by the team with excellent attention to detail.
* Communicate with stakeholders, management and staff groups using various methods; work closely with all stakeholders to ensure efficient use of the new system and adherence to new/improved processes.
* Train staff on new technologies, quickly understand current working practices, convert them into process maps, develop training materials and deliver training to users.
* Prioritise and self‑manage workload and project components.

Responsibilities
The post-holder will:
* Communicate and work effectively with all members of the Programme Team and associated staff, liaising with other departments, internal and external service users, ensuring a positive, professional business image.
* Work with external suppliers during procurement and implementation of projects while handling commercially sensitive information with discretion.
* Receive visitors and manage telephone calls and queries consistently with Trust policies, demonstrating effective communication and discretion.
* Provide a high‑quality, professional, efficient administrative service, remaining flexible, calm and organised, ensuring project deliverables are met within deadlines.
* Assist in the promotion, development and implementation of standardised processes throughout the project.
* Maintain diaries for the Programme Management Team using appropriate technology; arrange appointments, meetings and ensure diary commitments are communicated.
* Create and maintain action logs to ensure completion of identified actions in a timely manner.
* Plan and manage work to deliver tasks within the project plan, evaluating and developing own practice.
* Promote a healthy, safe, and secure working environment for the team.
Person Specification
Essential Qualifications
* NVQ Level 4 in Business Administration (or equivalent experience).
Desirable Qualifications
* ECDL modules 1‑7
* PRINCE2 Foundation
Essential Experience
* Experience of undertaking a wide range of administrative and secretarial duties using computerised systems.
* Experience of providing high level support to senior managers in a corporate environment.
* Experience of taking typing minutes from own or others' notes and/or Dictaphone.
* Experience of managing change and associated behaviours.
* Experience of working within a project environment and using PRINCE2 principles.
* Advanced keyboard skills.
Desirable Experience
* Experience of creating training materials and delivering training.
* Experience of creating testing materials and facilitating testing.
* Experience of implementing systems for clinical usage.
* Experience of working in projects from initiation through implementation and post Go‑Live support.
