Personal Assistant to Hospital Director | Secretary | Administration | Fylde Coast | Blackpool | 12 months Fixed-Term Contract | Full time | 37.5 hrs per week | up to £30,000 per annum DOE
Spire Fylde Coast Hospital, Blackpool have an opportunity for an experienced Secretary/PA to join our team on full-time, fixed term basis to cover maternity leave.

As Personal Assistant you will be responsible to provide the Hospital Director and the Director of Clinical Services with comprehensive PA support and provide additional support to the Senior Management Team as required.
Contract type: Fixed-term contract for 12 months
Working hours: Monday to Friday 9 am to 5 pm
Duties & Responsibilities (not limited to):
1. Provision of secretarial support to Hospital Director and Director of Clinical services (DoCS) to ensure the smooth operation of the Hospital Director’s Office
2. Diary management, arranging meetings with internal/external parties, arranging events and forums, submitting expenses
3. Assist in organising the daily schedule of the HD/ DoCS ensuring files and documents are available and up-to-date, and that the HD/ DoCS are briefed on the day’s activities
4. Deal with a wide range of telephone enquiries and assist within the authority of the management of post
5. Be pro-active in dealing with issues without instruction as appropriate
6. Prepare agendas/papers for meetings including production of minutes.
7. Arrange routine and ad hoc meetings, briefings and hospital events, preparing necessary agendas, reports, minutes, overheads etc
8. Ensure business and financial information is stored, maintained and retrieved in a systematic secure, efficient and confidential manner
Who we are looking for:
9. Proven track record of holding a similar position, preferably at senior management level
10. Computer literate: A good working knowledge of word processing is essential, preferably Microsoft Office
11. Accurate, fast typing skills
12. Strong interpersonal skills, with the ability to communicate effectively at all levels offering support and advice where needed
13. Excellent organisational skills, the ability to manage time well, prioritise workload and the ability to work to deadlines
14. Understanding of the importance of, and respect for confidential information, underpinned by an understanding of the Data Protection Act
15. Attention to detail in presentation and recording of data
