This is a newly created and developing role at The Dow Surgery, offered on a 12-month fixed-term basis in the first instance. Subject to performance, business impact, and ongoing organisational need, the role may be extended or made permanent for the successful candidate.
Main Duties
* Being responsible for the day-to-day functionality of the practice IT systems
* Support of the multidisciplinary team ad hoc and on a rota basis
* Administration of databases
* Managing user accounts
* Housekeeping, upgrades
* General in-house IT queries ensuring all issues are resolved or escalated in a timely manner

Pay and Contract
* Salary: £12.30 to £12.70 an hour depending on experience

Key Responsibilities
* Provision of local support service to all staff, resolving issues with IT systems and equipment
* Perform regular system checks to maximise performance
* Provide training to all staff, ensuring effective use of all systems
* Ensure staff adhere to practice policies regarding IT security and Information Governance conformance
* Deliver the IT related elements of the staff induction programme
* Build, generate and carry out searches as required by the practice team to enable reports to be produced and action plans devised
* Support the team in the effective use of searches, audits and recalls
* Support the team in the use of the clinical system
* Act as liaison between the practice and external agencies for timely management of all faults
* Ensure the practice website is current and reflects the objectives of the practice alongside the PCN IT Co‑ordinator
* Configure searches and interpret data for audit purposes
* Send out mail merges for campaigns (e.g. flu)
* Ensure all staff have appropriate smart card access to the clinical system
* Update Operations Manager regarding release of patches and upgrades
* Configure activation and de‑activation of all staff email accounts
* Support the OM in writing all IT‑related policies, protocols and user guides
* Serve as administrative lead in support of practice clinical systems
* Responsible for provision of comprehensive data administration for the practice
* Oversee data collection and complex tasks of data validation and monthly/quarterly reports
* Deliver high‑quality data to support improved performance and service delivery
* Collect and provide systems ensuring accurate recording of all patient data (computer and paper)
* Provide data to Management and Clinical teams for analysis, formatting, and presentation of service outcomes
* Manage portfolio of data collection to meet local, regional and national priorities, ensuring agreed targets achieved and high‑quality data collection
* Ensure workload carried out efficiently within required timescales
* Maintain and produce practice protocols, procedures and guidelines; review and update as required
* Review GDPR, IG, risk assessments, ensure adherence under guidance of Management Support Officer
* Support OM/MSO in supplier contract management, procurement of equipment and services, obtaining quotes
* Communicate effectively with staff at all levels, external agencies, circulate correspondence timely
* Embrace change, research and develop new ideas, identify opportunities, assess threats before implementation
* Manage practice website and Agilio TeamNet site
* Manage practice telephone system and other relevant systems with Reception Manager
* Administer in‑house clinical training sessions; train staff on clinical systems and other systems
* Provide cover on rota basis for administration systems
* Administrator for clinical systems; troubleshoot IT problems, liaise with locality IT teams
* Resolve printer and PC problems, report faults to suppliers
* Set up and maintain new users according to practice protocol; ensure access to all required software and systems
* Maintain 3rd‑party software (Lexacom, HealthTech1, Docman, etc.)
* Update patient TV, practice website, intranet and newsletter
* Act as point of contact with NHSE and CCG on IT matters
* Adhere to practice protocols on data security
* Provide support and training for current and new staff in clinical system, software, templates, searches
* Read and communicate service specification criteria to clinical team
* Create/amend templates, concepts and protocols on practice clinical system
* Create searches and action QOF/Health Related recalls
* Monitor achievement through clinical audit/searches; provide feedback to staff
* Assist in data collection audits per Operations Manager instruction
* Run system reports, extract statistical data
* Maintain record keeping, monitor and liaise on private medical services
* Work autonomously, prioritise critical deadlines
* Inform line manager of target failures
* Participate in data management updates
* Support OM in CQC inspections preparation, maintain protocols, policies, information
* Assist OM in IG & Data Toolkit management
* Ensure security of data per GDPR/DP Act/IG
* Oversee administration ensuring staff housekeeping
* Ensure clinical integrity, implement ICB guidance
* Advise on transition to paper‑light practice
* Maintain Asset Register; identify equipment
* Support clinical sub‑groups in patient identification for assessment and treatment
* Ensure staff maintain disease registers, assist validation process
* Assist in information production for clinical audit
* Validate patient information with ICB; perform quality audits
* Conduct work related to practice performance
* Manage health and safety per policy, infection control, protocols
Qualifications
* Essential: eligible to work in the UK; educated to GCSE level grade C or equivalent in literacy and numeracy; advanced IT skills with understanding of Microsoft Office and social media development usable in workplace; demonstrable commitment to professional development.
* Desirable: working towards Diploma or NVQ level 3 in administration or equivalent experience; qualification in medical terminology or equivalent experience.
