There is an exciting opportunity to join Bellway, one of the UK’s largest house builders. Our Scotland West Division are looking to recruit a Technical Secretary to join the Division’s Technical/Commercial function.
The Role
The role of Technical Secretary supports the Office Manager in the day to day running of departments and provides secretarial and administration support to the Technical and Surveying Team/Department.
Overall principle accountabilities of the role include:
1. General administrative duties including, but not limited to, department holiday management, stationary orders, filing, typing, dealing with incoming and outgoing post for the departments, archiving.
2. Updating and managing databases specific to the departments.
3. Collating board report information.
4. Maintain updates of departmental procedures, and distribution.
5. Assisting with charity events, divisional presentations/seminars as and when required.
6. Provide relief switchboard and reception cover as and when required.
Technical Team – Specific Accountabilities
7. Logging of invoices from NHBC, ensuring accuracy and confirming information for the accounts team.
8. Supporting with postal addresses for new sites.
9. Registration of new sites with NHBC.
10. Providing Sales Information for sites.
11. Documentation control using departmental specific systems.
Commercial Team – Specific Accountabilities
12. Maintaining COINS database for subcontractors.
13. Obtaining waste data on a monthly basis.
14. Ordering site consumables, protection material and site signage.
15. Obtaining timber data on a monthly basis.
16. Assisting with raising/issuing rebate invoices and collection of monies.
17. Dealing with local supplier chains.
Specific accountabilities listed above may require training, this will be provided in the role.
Experience, Qualifications and Skills
Experience
18. Experience of working within a busy and fast-paced administration role.
19. Experience of working with in the construction industry desirable.
Qualifications and Training
20. GCSE Maths and English – Grade 4/C or above (or equivalent)
Skills and Aptitude
21. Good interpersonal skills.
22. Excellent organisation and administration skills, including good attention to detail.
23. Ability to work on own as well as part of a team.
24. Works effectively to deadlines under pressure and competently works on multiple tasks simultaneously.
25. Ability to wok to own initiative.
26. Proficient IT skills along with a good working knowledge of Microsoft Office (Word, Excel and Outlook) and the ability to adapt to new systems.
