Supervising a team of Medical Record Clerks to ensure that the team provides an efficient and effective service.

Running the team in the absence of the Team Manager, ensuring smooth running of the service.

Main duties of the job
Initial duties include: the collection and filing of Health Record Folders into the storage areas and archiving (scanning folders) folder using the Trust archiving
system. Eventually, in time leading on to further duties which include: Health Record Folder retrieval, updating patient’s demographic details in their folder and on the Trust’s PAS system and reception duties.
It should be noted that this post is very active and involves a substantial amount of lifting, walking, pushing trolleys and transferring of patient's folders.
Qualifications: 3 GCSE passes at level C or equivalent (to include English and Maths). ECDL qualification is desirable.

Detailed job description and main responsibilities
To liaise effectively with:
· Staff within their team and the wider Medical Records Department
· Staff in other departments e.g.
o Outpatients
o Accident and Emergency
o Wards
o Medical Secretaries
· Health Professionals i.e. midwives
· Patients /Visitors
To deputise for their Team Manager as required.
To be responsible for their own development and behavioural skills including:
· completion of mandatory training requirements.
· compliance with Trust and Departmental policy and procedures. To assist in ensuring that team members complete their mandatory training in good time.
To be responsible for identifying tasks assigning and allocating daily routine workload to both self and team members providing advice/instruction in how to achieve required outcome for example locating a health records folder.
Provide information to patients either directly or by supporting a team member to do so e.g. assisting a patient regarding an enquiry.
Assist the Team Manager in the delivery of Induction requirements for new members of staff within their team.
Provide training for new and existing members of staff within their team to ensure ability to perform activities outlined above in compliance with Medical Records Procedures.
This will also include:
* undertaking audits to ensure staff understanding of and adherence to these procedures
* reporting findings to the Team Manager providing feedback and additional training (if required) to the team member.
* acting as a mentor or buddy for new staff including apprentice clerks helping to ensure their integration to the team and department goes smoothly.
To assist the Team Manager in monitoring staff timekeeping and ensuring staff Time Sheets are completed accurately and on time.
