Senior Medical Secretary - General Surgery

An exciting opportunity has arisen within the General Surgery Directorate for a Senior Medical Secretary to work as part of the General surgery team. We are a strong, proactive team who welcome innovation and adaptability within the service.

The position is full time and the successful applicant will be based at Worcestershire Royal Hospital however cross site cover may be necessary to Alexandra Hospital or Kidderminster Hospital. We also offer some flexibility with home working for a limited amount of days per week.

As well as being part of the busy department, you'll be required to prioritise your own workload on a day-to-day basis. Excellent IT and communication skills are essential for this role.

You will demonstrate excellent organisational skills, must be flexible in approach, able to exercise initiative and demonstrate a consistently high standard of professionalism, being aware of the need for confidentiality and integrity. We would require a strong communicator and dedicated team player.

Main duties of the job

To providemedical secretarial service to a Consultant/s and other medical staff inrelation to their clinical duties.

Tomanage the Consultants waiting list and the booking of theatre lists in linewith Trust policy and national 18 week RTT guidelines.

Toundertake medical audio typing duties including outpatient letters toGeneral Practitioners, operation notes, discharge summaries andother official correspondence if required.

Torespond to enquiries from GPs, other Health Service personnel, patients andrelatives

To participate in the use of PAS systems toestablish patient information is kept as accurate as possible and producepatient documentation as required.

Toundertake any other duties as may be required as appropriate by the Consultantor the Directorate Management Team in accordance to the needs of the service.

Towork using own initiative with minimal supervision, prioritising own workloadin line with objectives of thedepartment and consultant teams.

Todeal with all incoming correspondence, phone and email in an efficient andeffective way.

Toliaise with patients, relatives and staff demonstrating sensitivity andmaintaining professionalism at all times.

Toassist in providing cover for other secretaries in the Medical Directorate toensure continuity of service to Consultant, medical staff, service users andpatients.

Job responsibilities

To providemedical secretarial service to a Consultant/s and other medical staff inrelation to their clinical duties.

Toundertake medical audio/copy typing duties including outpatient letters toGeneral Practitioners, operation notes and letters, discharge summaries andother official correspondence if required.

Toundertake responsibility to ensure any outsourced work for the Acute Clinics iscorrectly checked and uploaded to the Trust records and applications.

Torespond to enquiries from GPs, other Health Service personnel, patients andrelatives

Toparticipate in the collection and transmission of information to enable theDirectorate to meet its objectives.

Toassist with sorting day to day post.

Toparticipate in the introduction and use of IT and to provide IT support tocolleagues.

To participate in the use of PAS systems toestablish patient information is kept as accurate as possible and producepatient documentation as required.

Toundertake any other duties as may be required as appropriate by the Consultantor the Directorate Management Team in accordance to the needs of the service.

Towork using own initiative with minimal supervision, prioritising own workloadin line with objectives of thedepartment and consultant teams.

Todeal with all incoming correspondence, phone and email in an efficient andeffective way.

Toliaise with other members of the secretarial/administration team in order toprovide a co-ordinated and efficient secretarial service.

Toliaise with patients, relatives and staff demonstrating sensitivity andmaintaining professionalism at all times.

Ensureconfidentiality is maintained at all times, complying with the Data ProtectionAct, Information Governance and other Trust/Departmental Policies.

Toassist in providing cover for other secretaries in the Medical Directorate toensure continuity of service to Consultant, medical staff, service users andpatients.

Experience

* Previous medical secretarial / hospital experience
* Previous experience working in a busy office
* Previous experience of dealing with members of the public
* Knowledge of NHS systems
* Working knowledge of PAS / Bluespier / CLIP


Personal Qualities

* Able to work in demanding conditions where there is a high volume of activity
* Accurate and attention to detail
* Willingness to work with team members to help develop office and communication systems in conjunction with evolving working practices


Skills / Knowledge

* Knowledge and understanding of National Guidelines including 18 week RTT
* Self-reliant, ability to work independently and as part of a team
* Working knowledge of Microsoft Office
* Good telephone skills
* Excellent verbal and written communication skills
* Good organisational skills
* Knowledge of NHS systems
* Working knowledge of PAS / Bluespier / CLIP


Qualifications

* Typewriting / word processing RSA Level 2 or equivalent
* GCSE English and Maths at Grade C or above, or equivalent
* AMSPAR qualification or working towards AMSPAR medical terminology qualification
