School Office Manager - Immediate Start - Middlesbrough

Hours: Monday-Friday, 8:00am-4:00pm or 8:30am-4:30pm

Are you an experienced Office Manager or School Office Professional ready to step up?
We're seeking a confident, organised, and proactive individual to lead the front office of a thriving school in the Middlesbrough area. This is a fantastic opportunity to make a real impact within a welcoming and supportive educational environment. Due to urgency of this role you must be available immediately
This is a varied and rewarding position where you'll be at the heart of school operations-supporting staff, pupils, and parents while ensuring the highest standards of organisation, compliance, and professionalism.
Key Responsibilities Include:
1. Lead the day-to-day running of the school office and reception
2. Manage admissions, attendance, pupil records, and family communications
3. Oversee HR administration including recruitment, onboarding, DBS checks, and compliance
4. Handle finance tasks such as invoices, petty cash, trip payments, and reconciliations
5. Maintain MIS systems (Arbor, Every) and the Single Central Record
6. Support the SLT with reports, correspondence, and event coordination
7. Ensure GDPR, safeguarding, and health & safety compliance
8. Supervise and develop admin staff, including training and mentoring
9. Support with EHCPs, SEND funding, and Alternative Provision placements
10. Coordinate service contracts, licences, insurance, and facilities management
11. Lead on census submissions, policy compliance, and data reporting
12. Provide guidance on admin systems and school events (e.g. parent evenings)
13. Monitor office expenditure and ensure adequate resources are available
14. Record and manage staff contracts, attendance, absence, and CPD
15. Support procurement, sponsorship, and funding opportunities
16. Contribute to facilities management, lettings, and income tracking
17. Support budget planning, monitoring, and evaluation
18. Foster strong relationships with staff, families, governors, and external agencies
19. Ensure a welcoming and professional reception for all visitors
Essential:
20. Strong background in administration or office management (education experience preferred)
21. Excellent organisational and communication skills
22. Proficient in Microsoft Office and confident using digital systems
23. Calm, professional, and discreet under pressure
24. Immediately available or available at short notice (Enhanced DBS required)
Desirable:
25. Experience within a school or multi-site organisation
26. Familiarity with MIS systems such as Arbor or SIMS
27. Supervisory or team leadership experience
28. Understanding of school compliance, HR, or finance processes
