Salary: £30,000 - £35,000 (depending on experience)

About the role:
We are looking for an experienced and detail-oriented Operations Manager to oversee the smooth functioning of our office, business operations and HR administration. This role will also involve supporting live event projects by handling logistical tasks such as booking flights, coordinating schedules, and ensuring all operational aspects run seamlessly. This is an exciting opportunity where you will be working alongside the CEO and Head of Production in a key supporting role within the business.
Role and Responsibilities:
Office Management:
* Maintain office management systems, and look at innovative ways to make the office more efficient. Be forward thinking in suggesting and implementing new systems.
* Manage office supplies inventory and ensure necessary items are stocked.
* Oversee facilities management, including maintenance, repairs, and safety protocols, coordinating with the landlord and estate agents where necessary.
* Act as the primary point of contact for all office-related inquiries and concerns.
* Manage the office costs and staff entertainment budgets.
* Research industry events for the team to attend and organise regular internal events to boost morale and team cohesion.
* Manage company accounts and subscriptions.
* Ensure health and safety policies are up to date and adhered to, organising H&S/PAT testing when required
* Conduct regular assessments and inspections of the office environment to identify and address potential hazards.
* Provide training to staff on safety protocols.
Business Operations:
* Provide operational support to the CEO and senior team members.
* Develop and implement operational policies and procedures to optimise efficiency and productivity.
* Coordinate with department heads to streamline workflows and improve cross-departmental communication.
* Monitor and analyse operational metrics to identify areas for improvement and implement solutions.
* Collaborate with our IT provider to manage internal IT systems, including hardware, software, and data storage.
* Provide technical support and training to staff on IT-related matters as needed.
* Schedule and prepare regular top-level executive meetings and board meetings, take minutes and share relevant documentation with shareholders on time.
* Provide ad hoc support to the rest of the team whenever the need arises, including PA support to the CEO and Directors (diary management, handling travel and meeting arrangements, miscellaneous admin etc.)
HR/People Support:
* Oversee recruitment processes, including job postings, CV screening, and scheduling interviews.
* Manage employee onboarding and offboarding procedures, including paperwork and orientation sessions.
* Maintain accurate records of employee documentation, and manage the online HR platform.
* Arrange staff appraisals and update relevant forms and processes, working alongside our HR partner Wirehouse.
* Main contact for any employee queries about Human Resources policies and processes.
* Manage company handbook and policy updates in accordance with both current regulations and company practice.
Production/Team Support:
* Assist with logistical aspects of live event projects, such as booking flights, accommodations, and transportation for staff and talent.
* Provide on-site support during events as needed, ensuring smooth execution and addressing any operational challenges that arise.
Desirable skills:
* Proven experience in operations management, business administration, office administration, HR administration or related fields.
* Strong organisational skills and attention to detail.
* Excellent communication and interpersonal abilities.
* Ability to multitask and prioritise in a fast-paced environment.
* Proficiency in Google Workspace and Microsoft Office Suite and familiarity with HR software systems (e.g., CharlieHR, Payroll Sorted, Xero etc.)
