The main purpose of the role is to work as part of the practice team in providing administrative support to clinicians in varying and important aspects of patient care. This is a fast-moving, exciting and emerging role with priorities changing constantly. GP Assistants are a new role within the NHS categorised. The responsibility for the role will be directed towards the patients and services within The Park Surgery.
The Park Surgery is part of the Yorkshire Coast and Wolds PCN. PCNs are required organisational bodies across the NHS in England.
THE ROLE
· To act as Team Leader for the administration team which includes care coordinators and administrators. Ensuring that the teams meet their responsibilities and KPIs; assisting the Practice Manager in checking holiday cover and monitoring sickness.
· Monitor work within the admin department is carried out ensuring the KPI's are adhered to such as referrals, document management, private letters etc. and provide direction and guidance to the team where necessary.
· Monitor problems and provide solutions with guidance from the Practice Manager.
· To review processes to ensure that the most appropriate methods are carried out, adopting quality improvements where necessary.
· To assist clinicians in the administrative tasks required for clinical care. To facilitate the admin process of gathering information from different services as required. Completing and submitting documents on behalf of the GP and other clinicians
· To be a point of contact for fellow health professionals including nursing and residential homes, social services, ambulance, hospitals, CMHT, key workers and community services.
· Communicate with patients via telephone, text messaging and letters.
· To be a point of contact in the event of patient death. Liaising with the family, funeral directors and coroner, if required. To ensure paperwork is processed in a timely manner and families are supported through the process
· To produce referrals for patients as appropriate.
· Assist in the completion and submission of safeguarding paperwork
· To administer fit notes where clinically appropriate
· Checking blood pressure results submitted by patients, calculating averages and assessing against clinical guidelines – alerting clinicians where readings are out of tolerance
· Support clinicians in requesting laboratory tests to monitor ongoing conditions and medications
· Action patient tasks and ensure prompt turnaround as per surgery protocol
· Chase up hospital appointments, results and other queries as required by clinicians
· Monitor and respond to Accurx enquiries, referring on to appropriate department or dealing with queries.
· Deal with emails which arrive in the Practice 'generic' email inboxes, either resolving them or directing them to appropriate internal persons
· To undertake any other reasonable work when requested to do so by clinicians and the Practice Manager
· To run monthly reports that capture patients on specific medication which requires monitoring of bloods or other measures
· Facilitate the flow of work from the Practice Manager / clinicians to the care-coordinators and monitoring performance eg QOF and CQC quality standards work.
· Ensure that patient recalls are being carried out monthly.
· To participate in vaccination planning such as seasonal flu, covid and children's immunisations.
· Communicate effectively with other team members such as reception supervisor and dispensary manager.
· Create standard operating procedures for workflow within the departments.
· Ensure that staff members are trained in accordance with the SOPs and working to a standard expected for the practice.
· Carry out 1-2-1's with the team and feedback performance issues to the Practice Manager.
· Any other tasks as deemed necessary for the role.
