Overview
We are seeking a highly organised and proactive Rota, Operational and Compliance Lead Administrator to join our large, busy, yet warm and caring general practice team. This role involves managing clinical rotas and the EMIS diary planner, ensuring appropriate supervision for our trainees and allied health care team while maintaining safe clinical capacity and access. As the operational backbone of the practice, you will oversee and maintain accurate human resource registers, oversee building maintenance, and ensure regulatory and quality standards are met. This role offers the opportunity to develop into an Operations Manager position within the practice, gaining hands-on leadership experience and contributing to operational improvements that impact patient outcomes.
We are looking for someone with a passion for healthcare administration, excellent organisational skills, and a strong understanding of compliance in a clinical setting.
Job responsibilities
* Oversee the complex Rota in a timely and efficient manner with equitable duty cover and enhanced access
* Ensure appropriate supervision of trainees and the allied health care team
* Monitor capacity and schedule clinics to optimise weekly clinical capacity (e.g., coils, minor surgery, baby clinics)
* Maximise limited clinical space to support capacity and allocate time for essential meetings (appraisals, practice meetings, clinical meetings, safeguarding meetings, palliative care meetings)
* Manage clinical annual leave and study leave, ensuring accurate recording
* Manage the clinical system diary templates, adjust for room capacity, and maximise nurse diaries for QOF payment
* Oversee AskMyGP clinical allocations and capacity
* Oversee the Saturday hub rota (clinical, manager, reception) to meet minimum contracted hours; ensure health and safety inductions
* Book locums as required, maintaining an accurate register of HR documentation and compliance
* Set up new clinical users (employed and third-party) and ensure appropriate assurances and confidentiality agreements are completed
* Lead administrator for learners, planning induction, ongoing tutorials, and acting as the point of contact with lead employers
* Schedule annual BLS training and maintain attendance records
* Maintain accurate HR compliance registers (training, indemnity, registration, next of kin, and contact details)
* Maintain building maintenance registers (e.g., 5-year fixed wiring, annual gas safety, 6-month lift LOLER checks)
* Carry out routine fire safety checks and act as fire warden as required
* Complete monthly Friends and Family audit and report on CQRS and website updates for transparency
* Update the practice website with news and ensure information is current
* Ensure the practice uses digital telephone systems to communicate with patients and update hold messages for seasonal campaigns
* Attend and minute practice meetings
Person specification
Qualifications Desirable: Business Administration or AMSPAR qualification (or willingness to work towards)
* Experience of working with the public and within a healthcare setting (Essential)
* Experience of working in primary care / GP practice (Desirable)
