THE ROLE We are looking for an experienced, passionate and personable PA / Secretary to provide one to one, senior PA support to the Group Buying Director. This is a full-time role and will be on a permanent basis and an exciting opportunity to work at the heart of the buying organisation. As an Executive Secretary to the Group Buying Director you will be required to be a natural collaborator and communicator and be able to build strong relationships across the buying function as well as with your PA colleagues. You will represent the Group Buying Director and act with discretion and confidentiality at all times. The ideal candidate will have PA experience at a senior level with excellent PC skills in Word, Excel and PowerPoint. We're looking for somebody that is flexible, adaptable and able to prioritise their work to manage the needs of the Group Buying Director. Regular presence in the office is part of this role. WHAT YOU'LL DO Organising and updating the Group Buying Director’s (GBD) diary Ensuring GBD is aware of all incoming emails and initiating timely responses, particularly when travelling Communicate key information throughout the Buying function Working with other PAs / Secretaries particularly across Buying and Senior leadership to proactively coordinate key processes e.g. the delivery of the annual talent cycle, headcount review etc. Organising and facilitating key Buying and SLT meetings and off sites – could include some overnight travel Preparing and managing documents of a confidential nature (including word, PowerPoint, meeting notes etc). Organising GBD visits to European and US offices as well as trade fairs and other international travel – Travel arrangements, flights, accommodation, visas etc Preparing and editing PowerPoint presentations Liaising with both external and internal people of all levels – Communicating with vendors, Senior leaders in both TJX Europe and worldwide Maintaining good working relationships and liaising with other PAs to ensure a flow of information and ideas, and provide a support network Filing and other administrative duties Dealing with Oracle and TMS issues WHAT YOU'LL BRING PA experience at a senior level Fantastic organisational skills and detail oriented. Forward thinking and proactive approach to problem solving Excellent PC skills in Word, Excel and PowerPoint Strong data management skills Demonstrates flexibility and ability to adapt to an ever-changing and diverse environment. Able to juggle a number of constantly changing priorities and multitask in a high volume and fast paced environment while maintaining a positive and professional demeanour. Independent, able to work effectively without close supervision. Task oriented, aware of deadlines and ensuring these are met. Excellent communication skills, both verbal and written.
