POSITION PURPOSE Reactively handling all group, event and off-site function enquiries for the Resort, which includes but is not limited to corporate conferences, weddings, corporate golf days, incentives and social events. Responding to external and internal customer communication in an efficient and professional, friendly, detailed and timely manner. Reacting directly to sales leads, and providing assistance to other proactive Sales Teams with expert knowledge and strong administrative skills. Hosting site inspections, managing deadlines, converting and carefully contracting to secure business, before efficiently handing over to an Event Planner. Maximise revenues by ensuring effective sales, booking, forecasting, billing, and up-selling of resort products and services. ESSENTIAL FUNCTIONS Respond to event business enquiries, embrace all Wedding interest, and react to sales leads via telephone, e-mail, face to face, online engines, and internal communication systems promptly and efficiently in a professional and creative way according to customer requirements, examples given and company standards. Working both on own dedicated enquiries and supporting other team members with their assigned enquiries. Establish strong relationships and encourage open communication with the proactive sales departments, offering technical advice and support through the sales process and, where applicable in accordance to guidelines given, provide full administrative support for their sales leads. Encourage, prepare for and confidently carry out thorough and detailed site inspections of the full Resort and off-site facilities for appropriate enquiries. Assist in familiarisation trips and client entertainment, and attend trade shows to assist the Resort in the promotion of events and weddings. Manage clients through the sales process, take personal responsibility for compiling detailed and highly accurate proposals and binding contracts for Group Accommodation and Event associated business. Ensure proper signatory of contracts prior to release, timely issue, and manage timely return and deposit payments. To ensure high levels of system accuracy with meticulous attention to detail, including but not limited to booking details; group accommodation, banqueting and golf/spa/leisure forecasting; bedroom room type balancing; rate code building and modifying; business block notes and activities. To achieve optimum level of group occupancy, average room rate, banqueting revenue, wedding sales, and leisure revenue to ensure budgeted targets are met. Work closely with and assist other members of the Group Sales team on a daily basis to ensure all relevant tasks are completed according to standards and within appropriate timelines. Ensure critically high levels of attention to detail are put to all tasks, processes and system maintenance performance. CANDIDATE SPECIFICATION Must be proactive and able to work within a team as well as individually. Must be a creative thinker, enthusiastic and goal-driven. Must have excellent time management & organisational skills. Extreme attention to detail and ability to multi-task in a fast-paced environment are essential together with a passion for sales and events. Must be able to work shifts, weekends and holidays with flexibility for unsociable hours. Must be willing to adhere to immaculate grooming policy and strict uniform standards and be highly professional in appearance, character and conduct at all times.
