Job Summary
The successful candidate will work as part of the Medical Secretariat to meet overall service priorities and targets. This will require close liaison with clinical and support staff across the Division, other clinical leadership teams, patient services, and service users.
Main Responsibilities
* Provide a support medical secretarial service within the Division, undertaking accurate audio/copy typing of medical correspondence and general administration.
* Undertake general office duties, including answering the telephone, taking messages, photocopying, filing, faxing, and associated duties in an efficient and timely manner.
* Support the day-to-day functions of the Medical Secretariat, managing priorities and contributing to the provision of well-led, professional, efficient, accurate, and timely service.
Key Duties
* Provide support for written and telephone enquiries on behalf of the Medical Secretariat.
* Type urgent and routine NHS clinical letters where required and transcribe letters from audio recordings, ensuring accuracy and a high standard of presentation.
* Assist in achieving national and local performance targets.
* Support the service during periods of short staffing levels by working flexibly.
* Deputise in the absence of the Senior Medical Secretaries where required.
* Actively engage with the Specialty Management Groups to support the delivery of local and national targets.
* Collate information for reports, such as medical reports or incident reports, for auditing as required.
* Input and retrieve data within various computer systems and databases, ensuring data quality and accuracy.
* Work as part of a wider team, sharing responsibility to contribute towards the smooth running of an administrative service.
* Provide a customer-focused service, communicating effectively with patients and staff at all levels.
* Use Microsoft Applications for maintaining and managing records.
* Report any issues or complaints as necessary through the DATIX incident management system.

Person Specification
* Minimum of 3 Grade C GCSE or equivalent, including English Language.
* Word Processing/Typing RSA 3 or equivalent.
* Medical Terminology.
Experience
* Minimum 2 years of audio typing/word processing experience.
* Minimum 2 years of office experience.
* Experience in using IT software packages.
* Able to prioritise and organise own workload.
* Minimum 2 years of experience working in an NHS admin office.
* Working knowledge of RIO and R4 systems.
Skills
* Able to liaise with patients and relatives with sensitivity and confidentiality.
* Able to adapt to changing work demands and work independently.
