About us Partners In Cost (PIC), part of the Frenkel Topping Group, is a nationwide leading firm of Costs Lawyers who are locates throughout the country. We provide dedicated and bespoke solutions, specialising in personal injury claim, ranging from clinical negligence to catastrophic injury, as well as dispute resolution claims. We are seeking a full time Trainee Client Services Executive to join our team in Doncaster. Purpose The purpose of this role is to provide support to our Client Services Executives which includes organisation of both internal and external events. To undertake Marketing and Event support for PIC as well as attending events outside of normal working hours where required. Key responsibilities Gather contact details for required firms. Arrange meetings for Client Services Executives to attend. Book venues as required. Complete account review packs ahead of client meetings. Undertake "drop off" calls to clients specified by Client Services Executive. Create social media posts daily to advertise external events, share where the Client Services Executives are, encourage engagement from our followers. To ensure the rota is maintained and updated. To ensure rota is distributed to all staff. To ensure eshots received at least 14 days in advance of being due. To ensure eshot posted on social media, including completing final designs and quotes required. To ensure eshot follow up process continued, completed and always up to date. Updating website profiles for staff. Maintain mail chimp list, including checking the bouncebacks, assessing why this has happened and remove person when required. Confirmed that a person has left or retired must be removed from the list. Discuss and plan events with Client Services Executives and Business Development Director. Source and liaise with venues, sponsors and charities, Discuss and arrange staff away days and Christmas events. Manage the attendee list for events. Update the events spreadsheet with event details. Create name badges for events. Marketing the event by emailing previous attendees, dealing with ticket sales, pre and post event follow up emails. Manage and create social media posts. Keeping an inventory of merchandise and re-ordering supplies. Arranging the collection and delivery of the exhibition stand and merchandise in good time for conferences. Events Delegates List - Source emails to add to Master PIC Mailing List. Possible attendance at some events should the need arise. Manage the design and content on the PIC magazine - liaising with companies who wish to provide an article and the design team to pull it all together. Organise, attend and take minutes for the business development meeting. Prepare pack for 48 hours in advance and distribute. Additional duties To ensure that: The Client Services Executives are always supported. To maintain spreadsheets for events, mailchimp, client account reviews etc are maintained and kept up to date. Utilise the phone as much as possible and follow up confirmations in writing. Always show initiative and in situations where issues arrive. Responsibility is taken for all tasks above and ensure they are managed to a high standard. Ensure Client Services Executives and Business Development Director are kept up to date with actions for that week and continuous updates for events as and when required. Person specification Experience Good understanding of Microsoft Office, particularly Excel. Ability to persuade and influence effectively at all levels with both internal and external stakeholders. Ability to work on initiative as well as part of a team. Exceptional verbal and written communication. Ability to self-motivate oneself. Ability to effectively prioritise tasks. Professional telephone manner. Passion for sales with a drive to succeed. Bright and intelligent with a thirst for knowledge. Positive attitude.
