Overview
Puttshack is seeking a fun, highly organized Day Manager who will be a key player on the team. You will be responsible and accountable for administration of the business and reporting to the General Manager on problems or issues regarding financial reconciliations, maintenance and systems issues.
Location: Puttshack Watford
Pay: £20,000 PA
Working Hours: 30h PW
Reports to: General Manager
Key Responsibilities
* OPERATIONS
o Facilitate the operation of the venue with passion, integrity and knowledge while promoting the culture and values of Puttshack.
o Ensure that brand and operating standards are met.
o Receive orders.
o Liaise with cleaners and complete the daily check list.
o Order stationary and maintain par stock levels.
o Process and follow up on daily pre-orders.
o Assist managers with admin tasks.
o Act as the point of contact for the venue on the office phone line.
o Business audits.
* HEALTH AND SAFETY
o Complete the daily Health & Safety checklist.
o Health & Safety walk around to ensure everything is in operational order and compliant on a weekly basis. Resolve and update H&S.
o Maintain knowledge of legal responsibilities and ensure compliance in licensing, data protection, Health and Safety at Work and COSHH.
o Manage documentation on Alert 65 venue compliance and administer checklists, risk assessments, COSHH, incident reports, tracking of staff training and ensuring all contracts and venue certificates are up to date.
* FINANCIALS
o Cash control.
o Assist with cash up accountability and resolve issues with the previous evening reconciliation.
o Sales journal, analysing and resolving discrepancies from sales daily.
o Petty cash management, change orders, banking change, managing the safe and ensuring cash takings are in order daily.
o Reporting
o Opex tracker management and controllable costs.
* MAINTENANCE
o Report and log maintenance issues within the building, liaise with the General Manager on scheduling works.
o Schedule contractors for maintenance works; ensure contractors follow company guidelines and landlord conditions for timing of work.
* PEOPLE
o Foster a can-do team culture in the host and throughout the operation.
o Attend and assist the GM with training sessions and team meetings as required.
o Enroll new associates.
Qualifications And Experience
* 1 year operational/administrative experience in a guest-facing role within a similar concept (Hospitality or social entertainment).
* Proficiency in Microsoft Word, Excel, and presentation tools for daily tasks and reporting.
* Good knowledge of Outlook and digital communications tools such as Teams.
* Data management: ability to manage, organize, and analyse data using databases or spreadsheets.
* Knowledge of HR systems, Fourth and operational systems, Tevalis.
* Understanding of data security practices, GDPR and data protection including password management and phishing awareness.
* Some booking system experience would be beneficial.
