Job Opportunity: Medical Administrator (Maternity Cover)
Location: Strathcalder Practice
Hours: Monday, Wednesday, Thursday & Friday | 8:00am 6:00pm
Contract: Maternity Cover (with potential for permanent role)
Strathcalder Practice is a friendly, forward-thinking GP surgery committed to delivering high-quality care to our patients. We are currently looking for a dedicated and professional Medical Administrator to join our team on a maternity cover basis, with the possibility of a permanent post thereafter.
About the Role:
You will play a key role in ensuring the smooth day-to-day running of the practice. As the first point of contact for patients, you will provide a welcoming, efficient, and confidential service, both face-to-face and over the phone. You will work closely with the wider clinical and administrative team to support the delivery of excellent patient care.
Days & Hours:
1. Monday, Wednesday, Thursday & Friday
2. 8:00am 6:00pm (full-day shifts with breaks)
Key Responsibilities:
3. Greet and assist patients in person and via telephone, providing a professional and compassionate service.
4. Manage appointment bookings, cancellations, and patient enquiries using clinical systems (e.g., Vision, or docman).
5. Process repeat prescriptions, referrals, and other clinical correspondence in a timely and accurate manner.
6. Maintain accurate and up-to-date patient records, ensuring data confidentiality at all times.
7. Liaise with clinicians, external health services, and other stakeholders as required.
8. Manage incoming and outgoing communications (post, email, NHS systems).
9. Perform general administrative tasks including scanning, filing, photocopying, and document management.
10. Support the wider administrative and reception team during busy periods or staff absence.
11. Adhere to all practice policies, including confidentiality, safeguarding, and data protection (GDPR).
Essential Skills & Experience:
12. Previous experience in a healthcare or medical administration setting.
13. Excellent communication and interpersonal skills.
14. Strong IT skills, including familiarity with Microsoft Office and clinical systems.
15. Ability to work efficiently under pressure and manage multiple tasks.
16. High attention to detail and accuracy.
17. A team player with a flexible and proactive approach.
Desirable:
18. Experience with Vision, Docman or other clinical systems.
19. Knowledge of medical terminology and NHS administrative procedures.
