Job Purpose: The Operations Assistant plays a key role in keeping our Operations Leadership Team running smoothly. Providing high‑quality administrative and analytical support, you’ll be a trusted partner to senior leaders - bringing structure, accuracy, and momentum to day‑to‑day operations. From managing complex diaries and travel, to producing insightful reporting packs and polished presentations, you’ll combine exceptional organisation with strong data skills and commercial awareness. Your work will ensure information flows efficiently, compliance is maintained, and leaders can focus on strategic priorities. Key Responsibilities: Manage calendars for the Operations Leadership Team, coordinating meetings and ensuring optimal time allocation. Prepare detailed travel itineraries and ensure everything is in place for smooth business trips. Process and track expense claims & credit card reconsolidation, ensuring timely submission and accuracy. Build out regular reporting packs, pulling together operational metrics and presenting data in clear, accessible formats. Assist with meeting preparation and follow-ups, including action point tracking and ensuring deliverables are completed. Create high-quality PowerPoint presentations for leadership meetings with strong attention to design detail and visual clarity. Chase up reports, timesheets, and other operational documentation to ensure compliance and timely submission. Skills & Experience: Previous experience in an operational support or administrative role, ideally within a fast paced business environment. Proven ability to manage complex schedules and multiple priorities simultaneously. Exceptional organisational skills and meticulous attention to detail. Strong communication skills, with the ability to liaise professionally with internal and external stakeholders. Advanced proficiency with Microsoft Office, particularly Excel and PowerPoint. Comfortable working with data, including building reports and presenting information visually. A self-starter attitude, able to work independently and take initiative. The ability to manage multiple priorities in a fast-paced environment. Nice to have: Experience with AI tools such as Claude for improving productivity and workflow efficiency. Experience working in an IT services or managed services environment. Familiarity with financial processes including expenses and payroll administration.
