Job overview
An exciting opportunity has arisen for an Administrator within theTulip Maternal Mental Health Services. We are seeking a highly motivated and flexible Administrator to join the team.
The post holder will work closely with another Band 4 Senior Administrator to provide comprehensive and confidential administrative support to the team to ensure the smooth running of the service.
You will be expected to work on a hybrid basis, with a mix of office based and home working.

Main duties of the job
This post is suitable for someone who enjoys working as part of a busy team but is also able to work on their own initiative.
Main duties include:
1. Maintain efficient systems for client records.
2. Answering calls and managing the service inbox, responding to all enquiries promptly and professionally.
3. Processing referrals received into the service
4. Supporting other team within the CHPS services
5. Covering (buddy system) for other services when required
6. Prioritise own workload on a day-to-day basis to ensure that deadlines are met.
7. Open and sort incoming emails and other post in a timely manner, and where appropriate, personally prepare and send responses to correspondence.
8. The production of agendas and coordination of papers, ensuring that key documents are available within defined timescales.

Starting with NELFT
NELFT place a great deal of importance on new starters being properly welcomed and inducted into the Trust. All new starters will join the Trust on the first Monday of each month and will undertake a comprehensive induction of up to two weeks which will include mandatory training, systems training and the allocation of equipment. As part of the process new starters will have the opportunity to also meet the executive team, senior managers, and attend a number of drop-in sessions focusing on engagement, health and wellbeing and key processes. The induction will be held at our head office in Rainham, Essex.
Probationary Period
This post will be subject to a probationary period.
High Cost Area Supplement - Outer London
This post also attracts payment for High Cost Area Supplement of 15%of the basic salary (minimum payment of £4,714 and a maximum payment of £5,941 - per annum, pro rata for part time).

9. Note taking during referral meeting, actioning the outcomes on Rio and adding patients to waiting list.
10. Sending out, chasing, and uploading service specific forms that need to be completed by internal and/or external stakeholder
11. Prepare patient lists ready for referral meetings and perform outcome post-meeting action plans promptly in support of safe, effective care to the patient.
12. Ability to take minutes for meetings
13. Proactively maintain administrative systems as required to support the smooth running of the service.
14. Utilise advanced level IT skills to create reports, spreadsheets and presentations.
15. Act as the first point of contact for clients.
16. Update patient records on RiO, entering client related information and care events.
17. Manage incoming telephone calls
