Overview
To provide administrative support to ensure the smooth running of the charity. This role will be varied and will require a broad range of skills including strong IT skills (email, office systems etc)
To be responsible for the volunteer programme, ensuring latest best practice and growth of the programme. Supporting corporate, regular volunteers and those who are involved on a more ad hoc basis. Providing volunteer management, regular supervision and development opportunities. Proactive recruitment of volunteers, through campaigns that are targeted at specific groups, e.g. D of E, early retirees etc.
Main Duties
* To provide administrative support to the charity and staff as required
* Recruitment of volunteers, especially to reflect the needs of the charity and development of the current strategy
* Management of the volunteer register and ensure all contacts are up to date
* Develop volunteer recruitment campaigns to meet the growing needs of the charity
* Attend and be engaging at recruitment fairs.
* Contribute to the overall ethos/work/aims of the charity and meeting the needs of the children and families
* Produce rotas and schedules for the whole team to include volunteers.
* Famly admin – data recording, assessments and inputting registration forms, impact data retrieval
* Updating the Famly App for new families, sessions and invoicing to families
* Taking telephone calls and providing reception support
* Update session timetables for the whole programme across the different sites.
* Offer helpful, friendly, approachable and professional service and take appropriate action on own initiative, resolving minor matters, referring more serious matters to appropriate member of staff
* Ordering of office/centre supplies
* Assist with external communication to families and supporters – using digital and paper methods
* Following up requests from families for session bookings and communication with the team.
* Data Management, maintaining high standards when managing confidential information, always complying with the charity's data protection procedures and legal requirements
* IT support as required
* DBS checks and reference request as part of the recruitment process.
Requirements
* Strong administrative skills with attention to detail.
* Excellent communication skills, both verbal and written, with the ability to engage diverse audiences.
* Experience and confidence in using a range of computer programmes, including Microsoft Office or similar product.
* Ability to work alone but also to work with and motivate others in the team.
Job Types: Part-time, Fixed term contract
Contract length: 6-8 months
Pay: £12.21 per hour
Expected hours: 30 per week
