Role
As Office Lead you will manage daily office operations, oversee the administration team, maintain the School Information Management System (Bromcom), and ensure high standards of professionalism across the school.
Duties & Responsibilities
Office Lead
* Ensure the smooth and effective running of the school office and maintain a professional manner.
* Line‑manage the administration team and site manager, including appraisals, performance management, training and development.
* Supervise, train and develop administrative staff as appropriate.
* Delegate tasks to the office team on an ad‑hoc basis.
* Contribute to the maintenance of the School Information Management System (Bromcom).
* Add pupil data to Bromcom on transition into Reception.
* Provide general clerical support, including word processing and other IT tasks.
* Manage license renewals, SLAs, contracts, third‑party agreements, hall hire, insurance checks, safeguarding checks and declaration of right‑to‑work checks.
* Quality‑assure attendance follow‑up processes and report to the Headteacher.
* Use personal strengths to advise and support others.
Data
* Produce clear, concise and accurate information to support Senior Leaders in raising standards.
* Assist in the organisation, administration and distribution of reports to parents and staff.
Finance
* Undertake general financial administration, including banking, petty cash and trip reconciliation.
* Maintain Free School Meal records and monitor compliance.
* Administer school milk (NMRU and FP), submit quarterly returns, order milk and bread, and reconcile parents’ accounts.
* Act as main point of contact for supplier queries.
* Maintain club/trip & event costings spreadsheet.
* Manage the lettings system.
* Assist with delegated tasks in line with financial administration procedures.
* Manage procurement orders in liaison with SLT.
* Support audit preparation, new supplier forms and asset management.
Admissions
* Complete annual admissions and induction process for Reception.
* Support in‑year admissions.
* Update admissions portal (joiners and leavers admin).
* Manage data transfer arrangements to and from the school databases, including secure links with government agencies (CTF files, EYFS, Baseline KS1).
* Handle data transfer to new schools, mid‑year transition, and review files before sending.
General
* Undertake reception duties, answering general telephone and face‑to‑face enquiries.
* Assist in arrangements for school visits and events.
* Distribute and manage orders received.
* Support pupil first aid / welfare duties, liaise with parents and staff.
* Manage medications and information for children with medical needs.
* Analyse data and quality‑assure medical tracking software.
* Act as First Aider.
* Assist with student teacher admin.
* Handle Leeds for Learning bookings and check‑out.
* Regularly check inventory to ensure sign‑in procedures are adhered to.
* Conduct weekly site checks with HT and Site Manager.
* Undertake other reasonable tasks as required.
HR
* Complete and maintain the SCR record (Sampeople) and check monthly with HT.
* Report sickness and absence.
* Administer HR and payroll duties.
Support for the School
* Comply with policies and procedures relating to child protection, health, safety, security, confidentiality and data protection.
* Promote equality, diversity and inclusion.
* Contribute to the overall ethos and aims of the school.
* Appreciate and support the role of other professionals.
* Attend relevant meetings as required.
* Participate in training and other learning activities and performance development as required.
