Job Description
The HR Assistant plays a pivotal role in supporting the Office Manager to ensure the efficient operation of people-related processes across Chiptech. The role combines administrative precision with HR insight, contributing to the delivery of Chiptech's people strategies and employee-centred practices that reflect Chiptech's organisational values and strategic goals.
Key Responsibilities of the role
As an HR Assistant, you will:
* Maintain accurate records of staff annual leave, sickness, and other absences in line with statutory and contractual obligations
* Assist the Office Manager with building maintenance including testing fire alarms and renewals
* Draft and issue employments contracts, variation to contract letters, and other formal documentation under supervision
* Support Line Managers with probation periods of new staff including issuing confirmation or extension letters
* Support with new staff onboarding process including administration of PC set up, telephones, induction programme, and all communication
* Maintain single central register including conducting right to work checks and visa renewal
* Support investigations and disciplinary processes by preparing documentation and scheduling meetings
* Support Office Manager by coordinating and reviewing policy for renewal
* Monitor and coordinate staff return to work
* Coordinate professional development bookings and collate post-training feedback to inform future planning
* Support Office Manager with the recruitment process including arranging interviews, preparing documentation, and communicating with candidates.
* Maintain the Asset Tracker and manage company clothing levels for new and existing staff
* Support the planning and delivery of company events and activities
* Conduct reference and DBS checks for new hires
* Ensure staff birthdays and key dates are celebrated
* Provide general office duties support including responding to staff queries and liaising with external stakeholders
* Abide by Chiptech Values and Code of Ethics
Required Experience
* Level 3 CIPD Certificate in People Practice or similar experience in HR administration
* Ability to uphold strict confidentiality practices
* Strong understanding of the fundamentals of employment law and HR best practice
* Excellent customer service/relationship skills.
* Well-developed communication and interpersonal skills and able to deal with people at all levels both in and outside the business.
* Excellent time management skills.
* Well organised and able to prioritise and multitask.
* Self-motivated and able to work using own initiative.
* A team player both confident and professional.
* Practical and adaptable.
* Self-motivated and capable of dealing with fast moving and varied events which are demanding.
* Computer literate with a minimum basic Word and Excel skills
