EMPLOYEE BENEFITS ADMINISTRATOR - SITTINGBOURNE, KENT
Our client is looking for an Employee Benefits Administrator to join their firm in Kent. The ideal candidate will have proven experience in pensions administration, with a strong focus on workplace pension schemes. This includes Auto Enrolment, Salary Sacrifice arrangements, and general pension scheme administration. A working knowledge of wider employee benefits—such as Group Life Assurance, Income Protection, Private Medical Insurance, Dental, and Cash Plan benefits—would be advantageous.
This will be a hybrid working role, with an expected 3 days in the office each week.
Key Responsibilities
* Handling client, provider, and adviser queries via email, letter, and telephone.
Managing New Joiner Processing
* Issuing new joiner communications (database-generated and employer-specific emails).
* Sending benefit invitations and processing benefit additions.
* Notifying employers of payroll-related changes.
Maintaining and Updating the Internal Company Database
* Processing new joiners and leavers.
* Updating employee address changes and notifying relevant providers.
* Managing benefit level amendments.
* Completing bulk data downloads.
* Issuing application launch emails and supporting users with login queries.
Processing Letters of Authority
* Explaining the transfer process to clients and issuing LOAs.
* Sending LOAs to providers and following up until information is received.
* Keeping clients updated throughout the process.
* Providing policy summaries and benefit projections once received.
* Arranging adviser calls in line with service agreements, where appropriate.
Managing Pension Transfers
* Generating and issuing transfer documentation.
* Maintaining and updating transfer tracking records.
* Chasing outstanding paperwork in line with agreed timelines.
* Issuing completed paperwork to providers and monitoring transfers through to completion.
* Keeping clients informed throughout the process.
Processing Monthly Group Personal Pension Contributions
* Managing new joiners and leavers.
* Checking contribution amounts for accuracy.
* Ensuring compliance with Auto Enrolment requirements.
* Maintaining monthly contribution data within internal systems.
* Communicating effectively with current and former employees, providers, employers, and advisers.
* Coordinating employer meeting days, including liaising with advisers and employers, issuing employee invitations, and preparing meeting documentation and diaries.
* Supporting employer re-enrolment exercises, advising on employee eligibility, and processing re-enrolment with providers once dates are agreed.
* Liaising with employees and employers to action requested changes to contribution levels or bonus sacrifice arrangements, ensuring all records and audit documentation are completed accurately.
* Supporting employees through the Auto Enrolment process, including explaining regulatory requirements and statutory contribution levels, and processing opt-outs.
* Issuing employee communications relating to salary sacrifice, Auto Enrolment contribution changes, higher-rate tax relief claims, and responding to related queries.
