Overview
A fantastic opportunity has recently arisen within the Bristol Urological Institute as we are advertising for a Patient Pathway Assistant working 37.5 hours a week to join our busy Urology department. This is an exciting opportunity to start your career working within the Bristol Urological Institute. The Urology department is focused on managing administrative processes for patients with urological issues in the Bristol and South West area, including RTT patients needing general urology care. The role will support all administrative aspects of the patient pathway in line with 18 weeks referral to treatment guidelines and cancer pathways; RTT and cancer knowledge would be extremely beneficial. The role also involves working closely with the Consultant Team and Patient Pathway Coordinator, deputising for them as required. The ideal candidate will be calm, logical, organised, and methodical, with the ability to multi-task in a busy environment with complex patient pathways.
Responsibilities
* Support the Patient Pathway Coordinator in working alongside a clinical team to ensure patients are admitted efficiently for investigative treatments, diagnostic procedures and inpatient and day-case operations within national guidelines and in accordance with the trust’s Patients Access Policy (including NHS Constitution, waiting time standards, Department of Health admission guidelines and booking rules).
* Add, remove and modify patients to and from the waiting list as requested by the Patient Pathway Coordinator or in accordance with the Trust’s Patient Access Policy.
* Book theatre lists as dictated by the Patient Pathway Coordinator.
* Schedule new or follow-up outpatient appointments, book pre-admission appointments, organise investigative treatments, diagnostic appointments and TCI/operation dates; ensure patients are informed with reasonable notice and that all relevant paperwork is completed; record elective attendances/admissions on the PAS system(s).
* Provide administrative support to consultant/clinical teams.
* Ensure accurate completion of clinic letters and ensure letters are copied to correct templates with correct patient details when received back from external typing.
* Ensure notes are traced in and out; handle photocopying, filing, faxing and other administrative duties to ensure efficient office running.
* Provide patient advice regarding admission (pre- and post-operative guidance) and waiting list position; handle enquiries from service users in a helpful, courteous and diplomatic manner.
* Process incoming mail (including electronic), prioritise items, and bring clinical reports and referrals to the attention of the Patient Pathway Coordinator.
* Maintain patient confidentiality at all times.
* Liaise with partner organisations to facilitate treatment, including primary, secondary and tertiary care providers.
* Coordinate with Cancer Services MDT Coordinators to ensure patients with suspected/confirmed malignancy are treated per the updated cancer strategy.
* Document and communicate patient needs and/or comorbidities to relative wards/departments.
* Cancel and reschedule patient appointments and TCI dates in line with Trust policy as directed by the Patient Pathway Coordinator.
* Maintain regular communication with consultant teams, clinical staff and directorate management to enable efficient processes.
* Provide a friendly, efficient service to patients; use effective listing/communication skills when dealing with distressed or bereaved patients and/or relatives; respond empathetically to enquiries from patients, GPs and community hospitals as appropriate.
* Answer telephone enquiries promptly and relay messages politely; take appropriate action.
* Provide cover for colleagues across the speciality/clinical directorate during planned leave or sickness; undertake additional administrative tasks as required.
* Adhere to all Trust policies including Infection Control, Data Protection Act, Uniform Policy, and ensure fair access to services while respecting patients’ rights and diversity.
Qualifications
Essential criteria
* GCSE in Maths and English
* Ability to prioritise workload and meet tight deadlines; good organisational skills; ability to follow procedures
* Written and verbal communication skills
Desirable criteria
* NHS experience; patient pathway knowledge
* Administration experience
