Job Purpose:
To manage the day-to-day running of St Paul's Clinic, ensuring smooth, safe, and efficient operations. The Operations Manager leads on rota coordination, staff management, and workflow organisation, supporting the Business Manager and clinical team to deliver high-quality patient care.
Key Responsibilities:Operational Management
* Oversee the daily running of the surgery and ensure adequate staffing and cover.
* Manage and maintain staff rotas for all departments, ensuring balance across clinics and reception.
* Coordinate room allocation, clinic scheduling, and cover for annual leave or sickness.
* Resolve operational issues promptly, keeping services running smoothly.
* Maintain excellent communication across reception, administration, and clinical teams.
HR & Staff Management
* Line manage administrative and reception staff.
* Lead on staff rotas, timesheets, and annual leave approval.
* Support recruitment, induction, and ongoing training.
* Oversee appraisals, performance monitoring, and absence management.
* Maintain accurate HR records in line with data protection requirements.
* Promote a positive, respectful, and supportive workplace culture.
Compliance & Governance
* Ensure operational compliance with policies covering Health & Safety, GDPR, safeguarding, and Infection Control.
* Support preparation for HIW inspections and internal audits.
* Maintain and update policies, procedures, and mandatory training logs.
Patient Experience
* Ensure the reception and admin teams provide professional, compassionate service.
* Monitor feedback and complaints, identifying service improvements.
* Support communication with patients, carers, and external services.
Systems, Data & IT
* Oversee the day-to-day use of EMIS Web, telephony, and other practice systems.
* Support accurate data entry, coding, and QI reporting.
* Work with the Business Manager to identify workflow inefficiencies and implement solutions.
Finance & Resources
* Support the Business Manager with ordering, supplier management, and budget tracking.
* Ensure cost-effective use of practice resources.
Continuous Improvement
* Contribute to Quality Improvement (QI) projects and internal audits.
* Participate in management meetings and share updates with the wider team.
* Encourage innovation, consistency, and accountability across all operational processes.
Person Specification:
Essential:
* Proven experience in rota management and day-to-day coordination within a busy organisation.
* Strong HR and people management skills.
* Excellent communication and problem-solving abilities.
* Organised, calm under pressure, and able to prioritise effectively.
* Confident using clinical systems (EMIS Web preferred) and Microsoft Office.
