Job Title: Client Services Administrator
Location: Swayne and Partners, Bury St Edmunds
Hours: Part-time, 16-20 hours per week. This role includes working every weekend.
Reporting to: Client Services Manager, Jackie De Friez
Salary: £12.21 per hour
Recruitment process: Application, 1-stage face-to-face interview, 2-stage meet and greet session.
Swayne & Partners is a well-established group of four small animal veterinary practices in Suffolk. The practices work collaboratively to provide exceptional care, with day surgeries at each branch. Bury St. Edmunds is the largest, offering out-of-hours and emergency care 24/7. Swayne & Partners is part of Kin Vet Community, a vet-led collective of 19 practices across Essex, Suffolk, Hertfordshire, Kent, and Southwest London, providing compassionate, high-quality pet care with a focus on collaboration.
The Client Support Administrator is responsible for ensuring the highest quality client experience, maintaining friendly, supportive, and professional engagement. This includes ensuring appointments are scheduled promptly, payments are processed, and front-of-house standards are upheld.
Job Responsibilities:
* Maintain cleanliness in the reception area and greet clients warmly upon arrival and calls.
* Proactively contact clients to rebook missed appointments and follow up on estimates.
* Process payments at the end of consultations according to company policy and book follow-up appointments as needed.
* Educate clients about the Kin Vet Community Health Care Plan.
* Keep client and patient records up to date, including insurance, contact details, and weights.
* Manage insurance claims in line with company policies.
* Follow Kin Vet Community Debt and Insurance policies consistently.
* Ensure appointments are scheduled promptly and practice diaries are maintained.
* Respond to practice emails promptly and courteously.
Additional responsibilities may be assigned as necessary.
