Job Summary

Responsible for the day to day smooth running of the practice and Medwyn Centre ensuring all functions are carried out in accordance with agreed procedures, protocols and time-scales, reporting to the Practice Business Manager as necessary.

Main duties of the job

Oversee all aspects of IT operations, continuously scanning for emerging technologies and innovations. Ensure technology enhances patient support and safety, and maintain high standards of management, security, and controlled deployment.

Medwyn Surgery is an NHS GP practice located in Dorking,serving the local community. It offers comprehensive primary care, including appointments, repeat prescriptions, and chronic disease management, and is currently accepting new patients.

Job responsibilities

To take responsibility for day to day operational management of the practice
IT Lead
To foster a positive working environment
Line manager for reception manager
To ensure good communication between everyone working at Medwyn.
Day to day management and problem solving, ensuring the smooth running of the surgery
Project managing new developments within the practice
Line manager for reception manager
Line manager for operations assistant
Staff training
Accurx
Deputise for PM
Manage staff annual leave
Smartcard issues
NHS Mail
Access control software and programming
Labeltrace troubleshooting and installations
Microsoft Teams issues
AccuRx bulk messaging
Maintenance of practice laptops and i-Pad
Liaising with IT support regarding tickets raised by users and logging issues via their SCW portal
Accurx form control and announcements
Procurement of equipment
Accessing the remote Gateway for third party applications stored on the server
TPP issues between organisations
DART software
Installation and training of ad-hoc items of equipment
Liaising with lab regarding ICE issues and setting up new users

Safeguarding

The post-holder must show commitment to safeguarding and promoting the welfare of children, young people and vulnerable adults. The successful candidate will be expected to follow safeguarding policies, complete appropriate safeguarding training and undergo an enhanced DBS check.

Health & Safety:

The post-holder will implement and lead on the full range of promotion and management of their own and others health, safety and security as defined in the practice Health & Safety Policies, Staff handbook and the Practices Infection Control policies and other relevant procedures. This will include (but will not be limited to):

Ensuring job holders in the team adhere to their individual responsibilities for infection control and Health & Safety, using a system of observation, hazard identification, reporting to relevant management.

Using personal security systems within the workplace according to Practice guidelines

Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks across the business and flagging them to other appropriate staff as required.

Making effective use of training and other available resources to update knowledge and skills, and initiate and manage the training of others

Using appropriate infection control procedures, maintain work areas in a tidy and safe way and free from hazards, and initiation of remedial / corrective action where needed

Actively identifying, reporting and correction of health and safety hazards immediately when recognised

Keeping own work areas and general / patient areas generally clean, identifying issues and hazards / risks in relation to other work areas within the business, and assuming responsibility in the maintenance of general standards of cleanliness across the business in consultation (where appropriate) with other managers.

Routine management of own team / team areas, and maintenance of work space standards

Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work
Undertake / participate in the annual appraisals of staff in the team including their Personal Development Plans.

Oversee the waiting / public areas of the ground floor to ensure they are fit for purpose and of a high standard, flagging any areas of concern to appropriate staff.

Contribute to ongoing improvement in customer satisfaction and standards of delivery
To identify, flag and assist with process improvement projects such as reviewing areas for improvement, or efficiency identification
To begin investigations into errors regarding prescription issues, taking appropriate action where possible for remedial measures and identifying training issues.
