Position Overview:
A dependable team member who will provide administrative support performing the day-to-day administrative functions and assigned tasks related to reception management, facility services, building maintenance, engineering projects, and/or equipment maintenance.
Essential Functions:
* Plan and schedule all maintenance and preventative maintenance activities
* Generate work orders, track progress, and ensure completion
* Coordinate and implement daily work schedules, prioritizing critical tasks
* Schedule and direct contractors for repairs and manage vendor relationships
* Perform daily walkthroughs to review PMs & WOs, verifying task completion
* Monitor space cleanliness and organization for inspection readiness
* Coordinate with other onsite teams to meet client needs
* Communicate with customers, engineers, and subcontractors
* Develop and address ticket jobs in the in-house system
* Complete various complex facilities support services
* Respond to facility-related emergencies and coordinate utility-related issues
* Manage multiple projects and balance priorities
Education and Experience:
* Leaving Certificate or equivalent
* Previous experience that provides the knowledge, skills, and abilities to perform the job (comparable to at least 1-2 years)
Knowledge, Skills, Abilities:
* Proven decision-making abilities
* Strong computer skills, including Microsoft Office
* Excellent problem-solving skills
* Ability to communicate with diverse groups and specialized vendors
* Advanced knowledge of building systems (HVAC, plumbing, electrical)
* Understanding of security systems
* Ability to perform successfully under pressure
* Ability to lift and move objects up to 50 pounds
* Experience in non-traditional work environments
* Demonstrates a strong interest in managing constant change and revisions
* Out of hours on call availability when required
Work Environment:
* Able to communicate, receive, and understand information and ideas with diverse groups of people in a comprehensible and reasonable manner
* Able to work upright and stationary for typical working hours
* Ability to use and learn standard office equipment and technology with proficiency
* Able to perform successfully under pressure while prioritizing and handling multiple projects or activities
