Role: Administrator Location - Birmingham, UK Salary: £22,000- 26,000 pro rata Employment Type : Part Time Job Description : The role is for an efficient admin operation executive for a Digital and In person Mental Health clinic & platform, who will work on multiple roles in the admin space from Customer Service and Clinic Administration to Patient and Practitioner Management processes. Responsibilities: Patient Administration: Act as the first point of contact for patients, managing enquiries, booking appointments, and managing waiting lists, Appointment approvals on OC portal, Upload documents to patient records on OC portal, Prescription admin and audit. Patient Communication, Enquiry Handling/ Customer Care * Respond to callers and/or visitors promptly and courteously, identifying their needs, providing information or referring them as appropriate to the relevant discipline. * To adopt methods of communication and support which are suited to the needs of the visitors and/or callers, acknowledge difficulties in communication or in providing support and seek help as appropriate. * Ability to follow established procedures and demonstrate appropriate behaviour in dealing with awkward or aggressive visitors and/or callers. Clinical Correspondence: Format and proofread clinical letters, reports, and results with high accuracy. Diary & Inbox Management: Organise consultant schedules, meetings, patient & practitioner email response to queries Secretarial Support: Process referrals, maintain accurate patient records, and liaise with hospitals or other clinical staff. Private Practice Management: Reconcile financial reporting and handle invoicing Person Specification Qualifications Essential: GCSE standard of education or equivalent with at least 5 Grade C's or above to include English Language and Maths Understanding of confidentiality & Data Protection within NHS Experience Essential: Planning and attention to detail Experience of working in a busy office environment Desirable: Previous experience of working within the NHS or Private Practice Skills Essential: * Flexible approach * Self starter, ability to plan own workload, well organised, motivated, work with minimum supervision * Excellent communication and interpersonal skills with the ability to communicate complex matters clearly and precisely * Excellent IT skills and computer literacy, including Microsoft Office with particular emphasis on Word, Excel and Outlook * Ability to deal with people at all levels. * Good time management skills, able to work to strict deadlines * Efficient, professional, organised, confident and personable with pleasant face to face and telephone manner * Calm under pressure * Ability to work effectively as part of a team and to contribute to that team to ensure the Directorate works effectively Desirable * Experience of MIDEX PRO and/or Carebit- other practice management systems could be transferable knowledge Please * Apply * below or call us on * 0121 270 8878 *.
